Description

You will assist the Facilities Site Management Team to provide professional, effective, comprehensive and coordinated hotel services support ensuring a customer orientated delivery of all site services.

The site services department encompasses Portering, Housekeeping and Linen, liaising closely with other departments on all building issues.


The post holder will be educated to GCSE grade C in Maths and English or equivalent and have a minimum 2 years' experience of working within an administration role.

NHS experience would be an advantage. Applications that do not meet these requirements may not be considered.

Prior to interview you will be required to undertake numeracy and literacy tests.

  • The filing of source documents in accordance with various departments' procedures, ensuring that stored material is accurately filed on the Shared Drive and readily retrievable to resolve any queries that may arise in relation to PEAT, Cleaning Audits, Waste Audits, Fire risk assessments, PFI information.
  • Respond quickly and efficiently to site related queries and to assist customer organisations.
  • Ensure that site related working practices are documented and observed to provide accurate, up to date information for audit purposes.
  • Make sure all training records are up to date and highlight any shortfalls with Facilities Manager and Site Supervisors.
  • Arrange removals, collection and recycling of waste across the site when required.
  • Collate laundry usage throughout site on a linen database. Ensure laundry materials supplied to wards is recharged as per ward budget codes.
  • Chase outstanding maintenance issues to comply with PEAT requirements.
  • Collate and keep up to date door codes and fire alarm codes, ensuring Littlebrook reception is informed.
  • Regularly assist in updating Health & Safety file and Waste Management log books across the site.
  • Deal with queries for site issues that come into the office.
  • Raise orders for SBS and NHS logistics (Housekeeping, Portering, and Laundry).
  • Document weekly usage of housekeeping products - wards/areas and recharge accordingly.
  • Taking and typing up minutes of meetings.
  • Issuing Fob's for door entry systems and maintaining records
  • Updating site contact lists for all services across the site.
  • Maintain and update the electronic fire system.
  • Monitor and confirm bookings on the MICAD room booking system for the site.
  • Any other Ad-Hoc administrative duties.
