Job Title:
Contract Administrator


In Office Based:


  • Monday-Friday
Main Purpose of Job To assist the service department with the mobilisation, reporting and administrative tasks required of service contracts to meet contract service level agreements and KPIs


Key Responsibilities:

  • To assist Business Manager with the mobilisation of new contract sites, including; creation and issue of site logbooks, contract/asset setup in simpro and site/specific documentation where required.
  • Assist with the creation of small works/contract remedial quotes and chasing in orders from the client.
  • Ensure all site logbooks and client logbooks/systems (if applicable) are kept up to date with the latest job reports, including the printing, hole-punching and distribution to engineer to add to logbooks.
  • Update client systems where required for accurate site record keeping.
  • Attend monthly engineering team meetings and write up minutes for approval and issue each month.
  • Provide site administration support periodically where required.
  • Provide helpdesk cover where required due to sickness/leave.
  • Assist with the production of monthly contract reports to be issued to both Contract Supervisor and Business Manager.
  • Issue and manage client customer portal logins provide assistance to clients (training to be provided)

Other Tasks:

Type up engineering forms such as; electrical paperwork (EICRs, Installation Certificates, PAT reports)

Assist Business Manager with system filing of contract related paperwork.

Assist Business Manager to send out supplier/contractor quote enquiries as part of the procurement for planned and quoted works.

Ensure the updating of Customer/Site profiles on Simpro ensuring access codes/site notes are up to date

Occasional Maintenance Planning

**2 years previous experience would be preferred


Pay:
£28,000.00-£30,000.00 per year
