As Receptionist you will be an integral member of the Administration team delivering service excellence to all visitors and callers to the Forfar site.

As the face of the business, you will greet key clients, suppliers and NOV visitors, welcoming them to the site as well as screening calls and directing callers to their destination.

You will provide critical administrative support to cross functional teams within NOV supporting various departments as and when required along with everyday tasks.

Your proficiency in Microsoft Office software including Word, Excel and Outlook will be critical to this role as will your ability to provide excellent customer service to both internal and external customers of NOV.


DUTIES & RESPONSIBILITIES:


  • Answer telephone, direct, screen calls, taking and relaying messages in a timely manner
  • Greet visitors on arrival at NOV Reception, provide information and safety induction and announce visitors to company employee
  • Prepare and issue Door Access Control cards
  • General housekeeping duties in reception area
  • All facility related tasks including assisting with building maintenance requirements
  • Ensure knowledge of personnel whereabouts and maintaining exact and complete signout/signin procedures for visitors and onsite staff maintain security by following procedures; monitoring logbook; issuing visitor badges; H&S induction and facility evacuation participation.
  • Maintain attendance records and oncall information and distribute accordingly
  • Sort outward mail including DHL packages and incoming mail for distribution.
  • Provide timely responses to queries or requests from customers, suppliers and public
  • Organise and arrange transport, lunches, etc as required for visitors and employees
  • Order and maintain stationery levels and supplies and monitor the use of equipment within the office.
  • Maintain all facility health and safety requirements and contractors
  • Receive and record Service engineer customer feedback data
  • Order and manage all PPE and tool requests and record accordingly
  • Organise meter calibration and record accordingly.
  • Maintain facility Pool Car requirements
  • Processing timesheets and input into ERP system
  • Manage offshore certification including survivals, medicals, vaccinations and passports
  • Support Administration department with holiday cover and carry out any other duties as and when business requirements dictate as may be reasonably expected by line manager

Qualifications:


  • GCSE or equivalent, level 3 or above

Experience

  • Previous Reception/Administration experience (Desirable)

Skills, training or special knowledge

  • Computer literacy with a good command of Microsoft Office
  • Excel, Word and Outlook.
