Description

To provide a professional and comprehensive Administration Service in departmental areas across the Trust ensuring the effectiveness of all communications and organisational systems at all times.


The post will manage and maintain the Administration, completely, for both the Burton Injection and One Stop Services and the Lichfield Wet AMD Service.


The Tuesday, Wednesday and Friday will be at Burton covering both the Nurse Injection Service along with the Consultants One Stop Clinics.


  • Sole point of contact for the Nurse Injection, Consultant One stop and Wet AMD service, providing a high standard of administrative coordination in own departmental area.
  • Effective communication using negotiation and persuasion skills to ensure the delivery of a comprehensive Administration service.
  • All enquiries are effectively managed and successfully resolved within a prompt timescale, ensuring all relevant personnel are informed as necessary and an appropriate record is maintained.
  • Build, Amend, Book and Audit the clinics across both sites on the Meditech system.
  • With the help of your manager, Team Leader, Nursing Staff and Consultants you will fully manage the Administration of these hugely important services.
  • Undertake general administration duties in respect of own department requirements.
  • Prioritise own work schedule, to ensure an efficient and timely output to assist in achievement of quality and audit standards.
  • Ensure strict confidentiality at all times.
  • Ensure timely delivery of regular and ad hoc, data / information requested by the management team, producing reports as required.
  • Provide comprehensive administration and IT support for the department.
  • Assist in the supply of stationery as required.
  • Assist in any additional related project work as directed.
  • To actively participate in regular team and departmental meetings.

Burton Duties:

The reception staff at Burton deal with the booking in/booking out/pending process.


The process now is these should be sorted into date order and kept in weekly bundles, the figures of how many patients needed for any week should be given to the Manager to take to the weekly timetable meeting where the clinics will be confirmed for that particular week.

Appointments should be booked, and appointment letters sent as soon as clinics are confirmed. If appointments are made at short notice patients will need to be called to confirm attendance.

Take all calls relating to the Injection/One Stop Service for queries or rescheduling.


Manage the clinics to ensure they are full, liaise with your line manager if there are not enough slots or if we are not able to fill clinics.

Ensure the correct booking rules are adhered to. Consultants and Nurses see different amounts of patients.

Liaise with clinical staff regarding patient queries.

It is essential these patients are booked in the timeline requested so regular audits of the pended reports must be completed to ensure no one is missed.


Lichfield Duties:


Ensure the Medical Records are available at the relevant site for each appointment, this will also include prepping the notes for the day of the appointment.

You will also request notes in ample time and chase any missing as it is essential medical records are available for each appointment.


You may be required to book patients in on arrival and print off a Booking Sheet which will be attached to the Medical Records.

When patients have completed their appointment, they will hand
