Payroll Officer Job Description

Role Purpose

Home based until September 2024. Experience with iTrent essential. Experience with Oracle.

  • In this role, your primary responsibility will be to manage the integrated eHR/payroll database, making necessary changes to salary and payroll-related data.
  • You will be required to review staff expense claim forms and ensure that appropriate receipts are provided in accordance with Action for Childrens expenses policy and HMRC regulations.
  • Additionally, you will be responsible for processing statutory notifications and payments, voluntary deductions, third-party payments, and occupational entitlements.
  • You will also be required to administer accurate and timely changes to pension contributions in line with Action for Children policies and auto-enrolment legislation.
  • Clear communication, both verbally and in writing, with a focus on professional courtesy and adherence to Action for Children values, will be essential in achieving satisfactory outcomes. You will be expected to work to agreed service standards and maintain clear audit trails of any remedial actions taken and changes made.
  • This will include responding to enquiries from solicitors, financial institutions, social security enquirers, and any escalated enquiries from other internal teams.
  • You will be responsible for calculating and resolving complex overpayment incidents and ensuring compliance with TUPE scheme rules and other implications such as maternity differences and TUPE pension legislation.
  • Monthly manual calculations will be required to ensure accurate payments are made.
  • Participate in HR testing processes to ensure system upgrades and patches are properly applied before release in a live environment.
  • Implement system improvements, including outlining specifications, testing, and implementation. Handle requests for non-standard payments to departing employees, recover any outstanding sums, and issue P45s.
  • Assist with year-end tasks such as generating and issuing P60s and P11Ds. Collaborate with the People Insight Analyst to generate reports using systems and databases, ensuring accurate and relevant data is provided.
  • Use data to provide an overview of the situation to the requested parties. Upload new hires and leavers to the My Benefits site and promote the use of Action for Childrens benefits package.
  • Input third-party payments, such as childcare vouchers, on a monthly basis, obtaining appropriate authorization, calculating accurately, and adhering to relevant guidelines. Submit data to the Finance department by the specified deadline. Assist with monthly reconciliation processes and payment requests for third-party payments processed through payroll.
  • Set up new suppliers and control payments through the E Finance system to ensure compliance with agreements.


Qualifications and training CIPP national payroll certificate or equivalent work-related experience Skills, knowledge and experience Previous experience in a financial setting, particularly in delivering a structured and methodical transactional payroll service, is highly valued.

The ability to work effectively in a team and meet pre-determined deadlines is essential.

Excellent customer service skills, including the ability to communicate effectively (both verbally and in writing), particularly when resolving complaints, are required.

Strong analytical and numeracy skills, with the ability to interpret and summarise complex data, are also essential. Proficiency in Microsoft packages, particularly Excel, to an advanced level is necessary. If you're appointed, you'll need to have a disclosure check.
