Description

To be the first point of contact on entry to the CRF dealing with all queries in a professional and friendly manner and understanding the role within delegated authority.

Greet all visitors and study volunteers, families and staff in a polite, courteous and efficient manner.
To provide an effective administrative service to staff, research participants and researchers as requested.


Main duties and Responsibilities:

Book researchers and participants appointments/resources on 'EDI' and ensure any queries are dealt with efficiently to enable accurate billing.

Organise and attend meetings as required, including booking rooms/venues, compiling agendas, preparing papers, taking minutes and distribution.
Ordering, though the appropriate electronic system stationary, consumables and medical equipment ensuring that adequate stocks are maintained. Receiving delivered goods and assisting in their unpacking and storage.
Develop and maintain effective relationships with all internal and external contacts.

Register, check and update participants/volunteer details on the Trusts Information Management System (PIMS) and 'EDI' and inform the relevant research team of bookings or cancellations.

On each visit confirm details held are accurate.
Printing participant's wristbands according to trial SOP. Tracking and collecting of notes from Medical Records.

Keep an accurate filing system of all MRI safety questionnaires and check these against staff accessing the unit.
Provide a telephone enquiry service for the CRF, using your initiative to deal with queries where appropriate.
To receive incoming telephone calls, faxes and recorded messages to the CRF and re-direct calls as appropriate.
Keep accurate record of visitors to the CRF by maintain the signing in procedure for visitors.

Administrative Role

Diary management for the head of the facility, CRF manager, Lead nurse and the Business and Operations Manager, managing their weekly appointment schedules and diaries.

Provide CRF staff with administrative support to include but not limited to, stock ordering (office and clinical supplies), typing correspondence, memos, reports, and other documents from audio tape, drafting replies to general correspondence, receiving and sending out of correspondence in an appropriate manner, scanning and uploading documents to the CRF's shared drives and IT system.

In charge of reporting any IT equipment fault or any equipment in the CRF ensuring that they are actioned in a timely manner.

Recording of staff annual leave, sickness, absence and study leave, entering data into the electronic staff record system and finalising the roster before the deadline set by the trust.

Provide support to users in their use of the office equipment in the CRF including use of the audio visual and document scanning equipment.

Manage and record the maintenance and servicing of non-clinical equipment in the CRF.

Prepare visitors pack for academics/researchers/health professionals visiting the CRF.

Manage ang maintain a current database of staff authorised to access the CRF, liaising when necessary with the trust's security department.

Maintain efficient and effective systems (appropriate paper and electronic based record systems and progress monitoring system) essential for the smooth running of the CRF.

Research Study Management
Be responsible for organising initiation meetings with PIs who are interested in utilising the CRF for their research studies. Coordinate diaries, prepare briefing packs, take minutes of the meeting and take follow up actions as appropriate.
