Description

Purpose of the Role

Provide a first-class support service to the field-based associates, monitoring and managing their caseloads, regularly communicating to ensure deadlines are accurate and met, completing all processing of their non-clinical work and contributing to the development of the team and company.


Responsibilities

  • Take responsibility for a subset of associates, build professional working relationships with them and support them with all required aspects of their work
  • To undertake administration for the associates' case management cases, assisting them with the management of their cases, ensuring all company processes are adhered to and recorded correctly on our case management system (CMS).
  • Proactively liaise with associates over upcoming workflow and assist with the renegotiation of deadlines in conjunction with the clinical managers, communicating with associates, checkers and/or customers as required
  • Manage administration of cases, ensuring the case is up to date on the CMS (e.g. case and task status), monitoring cost estimates and preparing document templates (e.g. Monthly Summary, 6 month reviews, 'Comments On' Reports
  • Closeout cases on Proclaim and the network drive when confirmed to be finalised and all invoices paid
  • To prepare, type, format, password protect and dispatch reports and letters from associates
  • Assist associates by arranging revisits, Joint Expert meetings, Conferences or other visits
  • Monitor and proactively manage the caseloads for the associates (for example, reviewing upcoming work, scheduling, etc.), enabling them to complete their work with maximum efficiency, adhering to customer deadlines.
  • To prepare invoices using CMS and monitor estimates for cases
  • To help ensure the team is integrated with the other aspects of the business, through open communication, collaboration when appropriate and involvement in company events and meetings
  • To undertake general office tasks including faxing, filing, photocopying, scanning, arranging meetings, opening incoming mail, franking outgoing mail, booking appointments/diary management, answering telephone calls and taking messages, etc.
  • Maintain good relationships and a professional image with our staff, associates, customers and clients
  • To participate in training days and meetings as required
  • To ensure the office is maintained as a tidy and safe working environment, advise of any stationery supplies or requirements, and ensure the office is secured at the end of each working day
  • To ensure that line Manager is informed of any issues in relation to administrative workload, health and safety with regard to the office environment, or office organisational issues
  • To undertake any other duties as reasonably required

Health and Safety


All staff are expected to be aware of, and meet, their responsibilities for health and safety under legislation and Harrison Associates policies.


Person Profile
Experience, Specialist Knowledge & Skills (Technical & Functional)

  • Administrative/office work experience
  • Excellent communicator, with good writing skills and a friendly telephone manner, and capable of building professional working relationships
  • High level of accuracy and attention to detail
  • Good time management and organisational skills
  • Strong customer focus
  • IT literate with experience using Microsoft Office Packages
  • Numerate
  • Able to multitask, focusing on the task in hand
  • Proactive and flexible

Desirable Criteria

  • Experience in the case management, health, legal or insurance sectors
  • CMS experience


You will also be expected to demonstrate that you meet other requirements, such as the right to work in the UK, relevant professional registration and other such pre-employment criteria.


Salary:
£23,000.00-£25,000.00 per year
