About The MAC Project:


The Music and Change Project (The MAC Project) stands as a dynamic community-driven initiative committed to tackling the pressing issues of knife crime and youth violence in Coventry.

This transformative project actively reaches out to young individuals teetering on the edge of expulsion from mainstream education or susceptibility to gang recruitment and youth crime.

Harnessing the influential force of music, boxing and fitness The MAC Project's dedicated mentors strive to ignite inspiration and guide these individuals onto constructive paths, nurturing not only their personal and social growth but also fostering their musical development.


Position Overview:


At the heart of The MAC Project's success, the Project Coordinator plays a crucial part of the team ensuring the seamless delivery of the project.

This multifaceted role involves organising diaries for mentors 1:1's and group sessions at schools, liaising with external partners, championing mentor-led projects and meticulously overseeing data collection processes and reporting back to the Youth Work Manager.

The coordinator's adept management ensures the project's fluid operation, fostering a spirit of collaboration among mentors and stakeholders.

This ultimately leads to the attainment of positive relationships for at-risk young people and continuing to uphold the highly established reputation of the MAC project.


Key Duties and Responsibilities:


  • Liaising with external organisations to book in new referrals on our centralised database, whilst maintaining a consistent line of communication with both the mentor, young person and external party throughout.
  • Understanding each mentor's skill set in order to delegate the correct mentor for the young person.
  • Complete all project related administrative tasks involved with staffing, including updating staff diaries, ensuring staff complete registers, putting together SLA's and prices.
  • Plan and organise events that give young people opportunities within their communities.
  • Coordinate with mentors, schools, and community partners to ensure successful and smooth processes.
  • Ensure safeguarding of young people and all relevant risk assessments are completed.
  • Sensitive information is recorded in compliance with CBGC's policies and GDPR.
  • Efficiently manage referral bookings as they arise, ensuring a streamlined process.
  • Support Youth Work Manager with fundraising.
  • Synchronise calendars, aligning room availability and staff schedules with the preferences of the young people's availability.
  • Facilitate regular meetings and training sessions for mentors to enhance their skills and knowledge.
  • Prioritise comprehensive preparation by providing staff with thorough background information on each young person before mentoring sessions commence.
  • Strong leadership and supervising skills
  • Maintain open communication with both Youth Work Manager and Finance Manager, keeping them informed of the progress of each young person.
  • Foster collaboration by consistently updating staff on the progress of young people and reporting back to the relevant support worker in a timely manner.
  • Forge strategic partnerships with schools, youth services, law enforcement, and local housing associations to proactively identify young people at risk of criminal activity and potential expulsion from mainstream education.
  • Prepare and deliver a standardised monthly report to all key clients to provide updates on training activities and outcomes.

Necessary Attributes:


  • Able to work in a fastpaced environment.
  • Selfmotivated, able to work independently and use initiative.
  • A clear, consistent, and confident communicator with an excellent telephone manner.
  • Detail oriented and have a proactive approach to problem solving.
  • Organised, with excellent timemanagement skills.
  • Able to manage a workload under time constraints, prioritising necessary tasks.
  • A dedicated team player, with an approachable, friendly, and professional attitude.
  • Possess a working knowledge of Microsoft Excel and Outlook.
  • Able to quickly familiarize themselves with in house systems.
  • Demonstrated expertise in project coordination, particularly within the realm of youthfocused initiatives.
  • Exhibits the capability to collaboratively engage with diverse stakeholders, including schools, community organisations, and law enforcement.

Qualifications:


  • At least 2 years' experience in project coordination
  • Appropriate training or business administration qualification
