Business Support Officer
Our client Banya Family Placement is hiring a Business Support Officer to join their team.


Accountability


The Business Support Officer is a post accountable to the Business Support Manager with a link with the Fostering Manager.


The main function of the post is to provide administration for the smooth running of the office, including dealing with telephone/reception, computer, and paper-based record keeping according to the fostering regulations, and liaising with social work staff.


Main tasks and responsibilities

  • Assist with keeping computer database information on carers, children placed, local authorities, and staff, and associated paperbased files.
  • Respond to telephone enquiries, receive visitors to the office and deal with post.
  • Assist with the setup, maintenance, and administration of office systems, including computer systems, and train staff accordingly.
  • Participate in and contribute to their training activities. Full training will be given where necessary
  • Liaise with the, Business Support Manager, Fostering Manager, Supervising Social Workers and other staff as needed, to assist them in carrying out their work regarding QA.
  • Adhoc administration.
  • Keep records of children and carers, as collected by support workers according to fostering regulations.
  • Organise the processing of statutory checks and other references required by the agency, on carers, prospective carers and others as appropriate, including collecting the information needed to carry out these checks.
  • Be familiar with Banya's policies, procedures and guidance, including the policy on the need to keep all information confidential.
  • Keep up to date with issues around fostering, e.g. current practice, legislation and standards.
  • Carry out typing, filing and sorting of letters and other documents plus minute taking.
  • Assist with referrals, liaising with placement officers and placing social workers. This to be carried out every six weeks due to the part time nature of your work.
  • Promote equal opportunities and antidiscrimination through all aspects of the work.
  • Performance of any other tasks and responsibilities consistent with the role of the Business Support Officer.

Person Specification

Qualifications and experience

  • Ability to type.
  • Appropriate handson experience of office environments, including of telephone/reception, typing and keeping records.
  • Experience of working with other professionals, in a small office environment, desirable.
  • Knowledge of the Fostering Service Regulations, related legislation, standards and regulations, or willingness to acquire this.

Skills

  • Excellent telephone/reception ability.
  • Competence with office computer software packages.
  • A good level of written and oral communication, and problemsolving skills.
  • Accurate keyboard skills, and able to prepare documents for distribution, meeting deadlines.
  • Able to liaise with foster carers, social workers and other professionals.
  • Able to work effectively as part of a team and to prioritise own work load.
  • Able to work flexible hours.
