A successful and very well-established têxtiles group with sites across the North of England are looking to appoint a PA and Office Manager to support the Group CEO, Directors, and Senior Management team within their head office in North Manchester.


THE JOB:


Supporting the Group CEO on and off site, both in the UK and overseas, as PA and Office Manager you will become a highly valued support and confidant to the Group CEO, Directors, and the Senior Management team.


Based on site Monday-Friday, as PA and Office Manager your responsibilities will include:

  • Facilitating Directors, Management, and teams to provide their highest level of customer service and satisfaction through efficient, effective and proactive back-office support
  • Providing a highly professional visitor experience to any customers, suppliers, or visitors to site.
  • Extensive diary coordination including booking and scheduling meetings using Outlook
  • Attending Senior Management meetings, taking minutes and recording actions
  • Processing Group CEO mileage and expenses
  • Supporting the Group HR Manager with all HR administration and KPI reporting.
  • Managing the site time and attendance system, recording absences, and submitting the monthly salary payroll detail
  • Group HR project support including newsletters and handbooks
  • Extensive travel management booking national and international travel, flights, hotels, venues, and the provision of full itineraries
  • Meeting room preparation, providing refreshments and booking catering for meetings and training
  • Supporting with the booking of company and hospitality events
  • Group Fleet Management including vehicle taxing, servicing, reporting breakdowns and maintaining the vehicle records and associated administration
  • Reporting IT faults to the outsourced support and managing the queries through to resolution
  • The procurement of goods and services, including business cards, and IT consumables
  • Assisting with the management of recruitment for vacancies across the Group, arranging advertisements, interviews, and contracts
  • The onboarding of new employees by issuing Contracts, arranging system access, inductions, the setting up of staff files and liaising with payroll regarding salary set up
  • The provision of starter, leaver, and personnel change information to payroll
  • Attending HR and H&S meetings and taking notes
  • The management of probationary reviews, annual performance and salary reviews, and the production of related paperwork

THE PERSON:

The ideal PA and Office Manager will have previous experience in a similar role. You will need to be highly professional in both your manner and presentation. This will suit a pro-active self-starter with an ambitious and energetic nature. Exceedingly goodcommunication skills and the ability to form strong working relationships both internally and externally is essential.

Outstanding organisation skills and the ability to plan and prioritise are essential along with the ability to meet and deliver on deadlines.

As well as having the ability to analyse and problem solve you will require excellent attention to detail.
