We are looking to appoint an Office and Research Coordinator to join the Lymphoma research delivery team within The Christie NHS Foundation Trust.


We are seeking an enthusiastic and highly motivated individual, who is wanting to expand their knowledge and interest in clinical trials administration, coordination, and data management along side providing clinical secretarial and PA support to the lymphoma research leadership team.

Applicants should meet all the essential criteria described in the job description as a minimum.


The post holder will work closely with both our clinical trial coordination team and clinical secretarial team to assist with the provision of a high quality and efficient administrative service.

There will be a requirement for the post holder to link to other staff working within outside of the Trust, e.g.

Medical Oncology department, University of Manchester and external sponsor companies. Good communication and interpersonal skills are key.


For the trial coordination aspect of your role, you will be assigned your own workload / portfolio of studies and help the team with the daily trials' activity.

These may include assisting with general administration associated with set up of clinical trials, regular trial management, completing activity logs to enable invoices being raised and entering data into data capture systems.

The Christie is one of Europe's leading cancer centres, treating over 60,000 patients a year.

We are based in Manchester and serve a population of 3.2 million across Greater Manchester & Cheshire, but as a national specialist around 15% patients are referred to us from other parts of the country.

DUTIES AND RESPONSIBILITIES
Professional

To demonstrate a professional approach to work and promote positive relationships with other departments with a multidisciplinary approach

To maintain confidentiality at all times in line with Trust and Data Protection policies

To be aware of and comply with all requirements for Health & Safety procedures and ensure Trust policies and procedures relevant to the area of practice are adhered to

Administrative

Office management/ coordination - approx. 0.4FTE

Support the lymphoma clinical secretarial service with general office management duties. This may involve

  • Work collaboratively with the medical secretarial team and scheduling team to provide a seamless service which is responsive to individual patient needs.


Liaise with relevant service management across the Trust to ensure the lymphoma secretarial service complies with Trust policies and procedures.

Support new secretarial staff with training and guidance in Trust and team policies and procedures

Monitor the lymphoma clinical secretarial/ administrative processes ensuring they remain effective and efficient. Make recommendations, with advice as required from senior managers, for service improvement where inefficiencies have been identified.


Support with clinical referrals and ensure enquiries are responded to in a timely manner and contribute to the compliance of all patient pathway targets.


Provide a level of cross cover for the lymphoma consultant's PA non-working days, with direct administrative support to the lymphoma senior clinical team.

This may involve

Arrange meetings and events, circulating agendas, itineraries and follow up actions to include formal minute taking as required.

Support arranging travel and processing expenses appropriately.

Meet and greet visitors providing hospitality where appropriate


Support with ordering stationery as required by the team and be a contact for the procurement process for Trust invoices, orders and departmental charitable donations.

Receive and re-route telephone calls appropriately and provide assistance and advice when possible.

Undertake photocopying, duplicating and collating and any other administrative tasks.

Clinical Trial Coordination - approx. 0.6 FTE

The specific responsibilities will depend on the requirements of the trial portfolio within the lymphoma research team, but may include:
Act as a point of contact for the core Research and Development team, study sponsors, clinical research organisations and specific research teams, communicating directly with them regarding data queries, monitoring visits and other enquiries relevant to trial set up and g
