Job Purpose:

To provide efficient and confidential administration service for our Home._


Statement of Purpose/Philosophy of Care:


At Chilton Croft Nursing Home, we place our Residents at the forefront.

General duties:


  • Be the first point of contact for residents and visitors so you'll offer friendly and professional support;
  • Answer the main door and direct visitors accordingly;
  • Answer telephone calls and transfer to the appropriate persons;
  • Ensure that computer systems are maintained liaising with the manger and computer technician as required;
  • Be an active part in any meetings making sure they run smoothly and that minutes are kept both in written and electronic format;
  • Deal with queries promptly and efficiently;
  • Develop and maintain good filing systems;
  • Deal with mail, scanning, stationary, photocopying, printing and all other office tasks as required;
  • Answer and follow up enquiries about the Home;
  • Process preadmission, admission and discharge documents;
  • Follow up and monitor any inquiries for potential new residents
  • Input and produce data trackers as required by the Home's governance systems;
  • Create and maintain staff and residents folders.
  • Do DBS checks and ensure appropriate references are received for any new staff
  • Update and maintain the Staff Training Matrix
  • Organise staff and follow up on booked training
  • Liaise with the responsible manager and ensure the duty roster has the right staff and the right skill mix with all the shifts covered for the following day
  • Help make sure that you total up all monthly hours, collating all relevant data( timesheets, signing sheets, duty rosters, annual leave, sick leave etc) and send all the information to the Home's accounts department for processing;
  • Check the individual pay slips for any mistakes and report to management and accounts immediately;
  • Maintain confidentiality about all the information accessible to you.
  • Given the 24/7 nature of nursing homes, the administrator job may require more than 40 hours per week and potential on call duties over some weekends and holidays. If required, these will be either rostered or communicated to you by the responsible manager with adequate notice.

Training and development

  • Attend all supervisions and staff meetings organised by the Home;
  • Undertake QCF training as required;
  • Attend all trainings organized by the Home; when training is advertised, you are expected to attend; Nonattendance to mandatory trainings will impact on the employer's ability to retain you in employment.
  • Adopt a clean and tidy appearance

Integrity and Professionalism

  • Maintain full, accurate, contemporaneous and legible records;
  • Work collaboratively with all members of staff;
  • Check the duty roster and follow allocations at all times;
  • Notify the Home (by ringing about any instances when you are not able to report for duty. Where this is possible, cancellations should be made 2448 hours in advance.
  • Maintain confidentiality about all aspects of the Home's operation, staff and its residents.
  • Report to management any concerns or issues in a timely manner.
  • Promote and ensure the good reputation of the Home at all times.

Health and Safety

  • Contribute to effective and efficient use of resources including safe use, checking and maintenance of equipment;
  • Ensure all emergencies, incidents, accidents and complaints are responded to and reported in accordance with the Home's policies and procedures;
  • Keep uptodate with the Home's development and changes;
  • Promote and ensure the good reputation of the Home at all times;
  • Comply proactively with your duties and follow the Health and Safety at Work Act 1974 as detailed in the Health and Safety policy of the Home.
  • Undertake reasonable extra responsibilities as required;

Confidentiality

In the course of your duties, you will have access to confidential material about the residents, staff and the Home. You must not divulge any personal/confidential information via telephone or any other forms of electronic devices/social media. This includes taking any pictures inside the premises. You must not discuss any confidential information about the residents or about the Home outside Chilton Croft unless authorised to do so by the management. Breach of confidentiality will be taken seriously by the Home management.
