The role of Children's and Maternity Administrator is an exciting opportunity to work in a friendly, supportive, forward thinking, dynamic safeguarding service at the Great Western Hospital NHS FT Swindon.

This is an interesting and varied role that is required to provide efficient and comprehensive administrative support to the Named Children's Safeguarding Doctor, Named Nurse for Safeguarding Children and Young People and the Named Safeguarding Midwife as part of an Integrated Safeguarding service


The post holder will work closely with the Children and maternity safeguarding team to support and keep updated relevant contract, schedule and activity databases, and work with the Trust's systems and processes, assuring practice complies with legislative and regulatory duties.


There is a further requirement to communicate with a wide range of internal and external stakeholders ensuring safeguarding risk information is shared appropriately and in a timely way.

The core role is to be responsible for Children and Maternity Safeguarding administration processes and provide strong, collaborative administrative support to the Children and Maternity Safeguarding Teams.

To be the central point of contact for safeguarding enquiries and to ensure appropriate follow up action is taken.

This includes coordinating responses relating to safeguarding strategy activity, maintenance of databases and contribute to the production of a variety of documents; Safeguarding reports, case conference reports, action plans and serious case reviews, and administrative support for the Child Death Review Panel as requested by the Safeguarding Team.


The role also calls for proactive diary management, using initiative and judgment to make, reschedule or cancel appointments according to incoming and existing work priorities and availability.

Meeting administration and minute taking are also core skill requirements.


The role supports the team to maintain secure and confidential electronic safeguarding patient related information on safeguarding databases and Trust Patient Data Systems This role includes adding alerts to patient records.

The role holder will need to manage their own workload effectively without supervision and to undertake tasks as delegated.


Core skills include excellent organization and prioritization skills and the ability work collaboratively within the team and also with relevant stakeholder (partner) agencies.


You will be working as a key part of a dynamic integrated collaborative safeguarding team that provides safeguarding services for Children, Maternity and Adult services at the Trust.

Working as part of the Integrated Safeguarding Team the post holder role and responsibilities will include the following:

  • To maintain responsibility for Children and Maternity Safeguarding administration processes.
  • Provide administrative support to the Children's Safeguarding and Maternity Team. This includes the production of a variety of documents, such as safeguarding reports, action plans and serious case reviews, as requested by the Safeguarding Team
  • Provide administrative support for the Child Death Review Panel
  • Co-ordinate the various reports required for strategy meetings to ensure that full reports are supplied
  • In liaison with members of the safeguarding team proactively maintain and update diaries, using initiative and judgment to make, reschedule or cancel appointments according to incoming and existing work priorities and availability
  • To support the team to maintain and upload secure and confidential electronic safeguarding patient related information on the Patient Data Systemse.g.,Careflow -as requested by the safeguarding team
  • Monitor and update the Children and Maternity safeguarding webpages to ensure that information remains up to date.
  • To consult with internal and external professionals as requested by the safeguarding Children & maternity team and to ensure appropriate follow up action is taken
  • Maintain an awareness and sensitivity to the work needs and priorities of the Children's Safeguarding Team ensuring time, privacy and appropriate resources are made available to them to ensure work is completed within deadline
  • In liaison with the Named Nurse/Midwife co-ordinate and compile meeting documentation in preparation for meeting attendance
  • Co-ordinate and compile meeting documentation, including minute taking, for the Maternity, Adult and Children's Operational meetings and forums
