An exciting opportunity has arisen to join the Digital Services' Capital Planning and Contracts Team at the Nottingham University Hospital NHS Trust, as an Admin Support Officer on a permanent basis.


We would like to offer you the opportunity to meet the team virtually and ask any role specific questions you may have prior to applying.


As part of a small friendly and innovative team that is responsible for delivering high quality reporting and accountability for over 60 IT contracts, you will be a key member of the team providing comprehensive secretarial and administrative support to the Digital Services Delivery Teams and Operations Teams.


The post holder will be based at the City Hospital Campus but there may be occasion to travel across both campuses.

Main duties of the job

To maintain and organise the generic Admin and Commercial inbox.

To process invoices and assist the Digital Services department with raising orders via the internal finance system.

Assist with monitoring budgets allocated and payment schedules.

Place orders, ensuring all documentation and trackers are completed accurately and on a regular basis.

Track orders and liaise with the Procurement department to resolve order issues as necessary.

Liaise with Accounts Payable to resolve any invoice issues.

Order and maintain stationery levels for Digital Services.

We are looking for an enthusiastic, proactive and self-motivated individual who will be able to create strong working relationships with both internal and external colleagues; you will need excellent communication and organisational skills with proven record of prioritising and delivering accurate results.

Person specification

Qualification in Microsoft Office including Word, Outlook and Excel

Essential criteria

  • Competent in Microsoft Office including Word, Outlook and Excel
  • Knowledge of secretarial and administration procedures, acquired through NVQ III qualification or training/experience to equivalent level (i.e. at least 2 years in secretarial/PA type role)

Salary:
The quoted salary will be on a pro rata basis for part time workers.
