Spares Administrator
REPORTING TO:
Office Manager
QUALIFICATIONS or EXPERIENCE REQUIRED:
Sage 50 Accounts
Microsoft Office 365:
Excel, Word, Outlook
HOURS / PAY:9am - 4pm Monday to Friday £25,000 pro-rata
Main Focus of the position
To process Requests For Quotation (RFQ's) and Purchase Orders (PO's) received on a daily basis from customers of the Spares Department, in a timely manner, whilst ensuring best price, lead time and service from selected suppliers.
Key Tasks and Duties
Record RFQ's and PO's received on spares spreadsheet.
Prepare quote requests and send to relevant suppliers.
Consolidate supplier quotes, selecting most competitive considering price, lead time and service.
Update Sage part numbers with selected supplier and price information.
Update quote to sales order on Sage and place corresponding purchase orders with suppliers.
Check order confirmations from suppliers ensuring part numbers, quantities and requested delivery dates match.
Submit order confirmations to customers via preferred media.
File any paperwork and periodically archive filing.
Other tasks as required and requested to assist in the efficient running of the department and company.

Essential Skills and Qualifications
Sage 50 Accounts
Microsoft Office 365:
Excel, Word, Outlook
Maths GCSE Grade B or above
English GCSE Grade B or above
Full, clean UK driving licence
Desirable Skills and Qualifications
Refrigeration industry knowledge and experience.
Experience within a procurement department.
