Description

The Receptionist/Clinic Prep Assistant will provide an efficient and effective reception and booking service for patients and members of the department and manage the patient pathway in line with the Elective Access Policy.

The post holder will ensure that all patients and visitors are welcomed to the department in a professional manner whilst adhering to the Trust Policy on Data Quality.

The Receptionist/Clinic Prep Assistant will provide a comprehensive clerical support service to the administration and clinical teams in delivering high quality patient care and making a positive difference to the patient experience.


The Neurosciences Directorate is looking for a Receptionist/Clinic Prep Assistant to join our team in providing excellent and professional administrative and clerical support to the Neurosciences outpatient department located in the John Radcliffe Hospital.

Hours of work will be Monday - Friday, will vary on a rotational basis and will be within the hours of 08:00 - 17:00.


The post holder will provide receptionist support for our busy outpatient department as well as ensuring that all health records are available and prepared for all Neuroscience outpatient clinics.

The Neurosciences directorate is an interesting and varied directorate with many opportunities for development.


The Trust comprises four hospitals - the John Radcliffe Hospital, Churchill Hospital and Nuffield Orthopaedic Centre in Headington and the Horton General Hospital in Banbury.

Act as first point of contact for patients, clinicians and visitors to the department - dealing with all face-to-face contacts in an efficient, polite and courteous manner and responding to all telephone enquiries in a prompt and professional manner
Deal with patient enquiries in an empathetic and confidential manner, signposting people appropriately and maintaining a high standard of customer care at all times
Ensure that patient information and demographic details are recorded accurately onto the Trust Electronic Patient Record (EPR) whilst adhering to the Trust policy on data protection and patient confidentiality
Ensure that patients are checked in and out of clinics accurately and in a timely manner
Ensure that all consultants provide the reception desk with the patient outcome form at the end of clinic and help support the understanding of the 18-week Referral to Treatment (RTT) Policy
Book all follow-up appointments ensuring correct RTT status is recorded
Be responsible for recording DNAs accurately including contacting patients regarding the reason for not attending
Ensure that the reception area is kept clean and tidy at all times
Book interpreter services for patients as required
Arrange patient transport as necessary, in line with Trust procedures
