The primary purpose of this role is to provide various administrative support in the delivery of projects, working closely with the PMO and wider Projects Department._


SPECIFIC ACCOUNTABILITIES

  • Providing administrative support to the Projects Department, specifically PMO, Project Managers and Engineers to allow them to fulfil the governance and management of the project as required.
  • Responsible for scheduling and minuting key internal meetings across departments such as Tech Ops Support Handovers, Project Knowledge Transfers, Project Kick Offs, Sales Ops Meeting, Project Department Catch ups, meetings and more.
  • Support the Project Managers in sourcing, booking and liaising of Travel and Accommodation business requirements within project budget (i.e flights, trains, hotels, parking, covid tests etc).
  • Responsible for departmental Resource Requests process for installation engineers and liaising with other head of departments for external and programming requests.
  • Support in raising departmental purchase orders to suppliers.
  • Manage and update the internal engineering calendar daily, ensuring all relevant data is captured accurately and manage costs and resources in our internal CRM.
  • Support the Projects Managers to manage and capture information accurately in our internal CRM.
  • Supporting PMO with monthly dashboards, reports and presentations to wider business.
  • Assist with internal teams in preparation and providing documentation to key stakeholders, including health & safety documentation, job packs etc.
  • Manage the quarterly review and update of the Projects Handbook, ensuring that processes are up to date by liaising with the team to drive improvement and productivity.
  • Manage the access to the Projects team internal tools such as IAuditor, NetSuite, TeamGantt etc.
  • Support the Marketing team to obtain authorisation from customers to create case studies.
  • Support other ISDM colleagues and staff in administrative duties when required.
  • Assisting the PMO with any other responsibilities, i.e process improvements.

SKILLS REQUIRED

  • Minimum of 1 years' experience as an Administrator/Coordinator or similar role.
  • Good understanding and experience in standard Microsoft Office platforms
  • Word, Excel, Powerpoint etc.
  • Good understanding of data and the ability to organise, question, present this information across different platforms spotting trends/gaps and making recommendations on this across the department.
  • Ability to work in a fastpaced environment and prioritise workload based on actions efficiently.
  • Excellent attention to detail with high levels of accuracy and organisational skills.
  • Good at problem solving and can think 'think on their feet' to resolve issues quickly.
  • Good understanding of data analysis and why this is important for the business.
  • Strong verbal and written communication skills.
  • A positive cando attitude and team spirit.
