Job Title:
Programme Coordinator


Salary:
£28,000-£30,000


Duration:
Permanent


Hours: 35 hours per week to include Saturdays & Evenings

Tuesday, Thursday & Friday

  • 11:0019:00
Wednesday - 13:00 - 21:00

Saturday - 09:00-17:00

Some additional hours may be required including occasional Sundays. The role qualifies for TOIL. During holiday periods office hours may be worked Monday - Friday.

JOB SUMMARY

SUMMARY OF KEY RESPONSIBILITIES


This role will coordinate all programme activity at Wac Arts, communicating and working with a variety of core staff, freelancers, parents, and guardians.


Programme Coordination

  • Act as the coordinator for the Learning & Participation Programme ensuring smooth running of all activities
  • Ensure rooms and spaces are booked and prepared with external contact or inhouse Events Management team
  • Monitor, audit and purchase all equipment for programmes, liaising with Building Services and the IT Operations Manager to ensure correct setup for arts programme activity
  • Organize cover for sessions and ensure consistency of standards when cover staff are delivering sessions
  • Ensure all new staff are provided with the correct training, orientation and documentation prior to their start date.
  • Complete timesheets for sessional staff as well as liaising with Finance and Admin team regarding invoices for freelance cover staff
  • Establish and develop strong relationships with partners, stakeholders, and young people
  • Manage referrals for Wac Arts' programmes
  • Undertake onboarding of new participants on the Wac Nites provision including observations of young people in trial sessions
  • Create inclusive and accessible versions of all documents
  • Ensure equipment and resources are provided to staff for sessions and work with the IT Operations Manager to maintain good working order of all tech
  • Act as the Duty Manager and a contact for parents, guardians and students during Wac Arts activity
  • Act as the first point of contact for staff on Wac Arts programmes.
  • Work with the Marketing department to maximize participation in activity
  • Liaise with parents/guardians and carers to create and implement access/ care plans for participants with additional needs
  • Ensure the highest standards of pastoral care for young people are maintained across Wac Arts Activity
  • Work with the staff team to conduct evaluation of the programme activity
  • Coordinate the Jack Petchey awards and end of year achievement awards
  • Coordinate sharing week, evaluation week and the end of year grand sharing
  • Coordinate the Young Actors Company and Young Dancer Company public performance in the summer term
  • Undertake other tasks as directed by your line manager

General

  • Contribute to an open, creative, and collaborative team culture
  • Act as a Deputy Safeguarding Lead and First Aider
  • Act as the Duty Manager on Saturdays and evenings
  • Attend all internal and external meetings relevant to the role
  • Provide data and reports for internal and external parties as required by your line manager
  • Support WA in initiatives to expand its Arts Programme

PERSON SPECIFICATION

Skills and experience

  • A minimum of 2 years' experience of project, event or activity coordination
  • A minimum of 2 years' experience working in a field relevant to the arts, creative industries, youth work and specifically SEND area.
  • Reaching and engaging young people and communities that face the greatest barriers to participation in the arts
  • Excellent IT skills including MS Excel, Word, Teams, Zoom
