This role supports the technical and administrative duties of the Facilities and Maintenance team.

Maintaining organised systems of filing, dataset management and communications in our finance and maintenance systems, supporting the facilities helpdesk and reporting.


Your responsibilities in this role:

  • Receiving, editing, and reassigning work requests based on organised criteria on the CMMS.
  • Liaising with requesters and contract managers to ensure correct assignment of works orders.
  • Ordering and keeping track of asset tags and numbers in the CMMS.
  • Populating new asset details on the CMMS system.
  • Generating PMs based on department requirements.
  • Updating WR/asset/contractor files with service and assessment reports.
  • Adhering to IFS process, tracking cost spend, raising PRs, receipting invoices.
  • Troubleshooting
- liaising with buyers, procurement to ensure a smooth process.
  • Supporting reporting requirements with dataset manipulation.
  • Visitor/contractor booking onto site.
  • Reviewing contractor service reports and uploading in the CMMS System and adding follow up works order to the CMMS.
  • Monitoring the CMMS inbox, answering the phone line and dealing with enquires.
  • Time and attendance
- clocking, overtime, logging, cost centre changes, troubleshooting.
  • Completing department COSHH assessments and updating the system.
  • High attention to detail
  • Experience working to deadlines
  • Experience recording of financial data
  • Excellent customer service skills for our internal customers and external suppliers
  • Able to multitask and prioritise workload
  • Confident with IT and learning new software. CMMS, Workday, Procurement software (IFS), Excel, Outlook, Microsoft Teams
