PA Job Description


Provide a confidential and professional administrative service to the Hospital Director, Director of Clinical Services and Senior Management Team and assist in the smooth and efficient running of the hospital.

To manage the complex workload involved and support the SMT on all administrative aspects of their role.

Hours: 37.5 hours, Monday to Friday. Shifts will be between 9am and 5pm.

Occasional late meetings. i.e. Medical Advisory Committee etc


Salary:
Negotiable, dependent on skillset and experience.

PA to the Hospital and Director of Clinical Services

  • Main Responsibilities & Duties of the role:
  • To Provide a confidential and professional administrative service to the Hospital Director and Director of Clinical Services to assist in the smooth and efficient running of the hospital.
  • Management of meeting documentation relative to the Hospital Director and Director of Clinical Services to include: timely issue of agenda and associated documentation; attending meetings to produce minutes and circulate as appropriate to the meeting. Meetings include Medical Advisory Committee and Heads of Department, Senior Management Meeting, Governance Meeting and others where appropriate.
  • Manage and organise electronic diaries and regularly plan/organise meetings for the senior management team which are often of a complex or sensitive nature, by liaising with and inviting attendees, setting dates, booking venues, booking catering (if required), collating and circulating documents prior to meetings. Attending meetings to provide administrative support if required.
  • To support the HR Advisor with training reporting and monitoring, along with employee and consultant compliance checks required regarding DBS and professional registration.
  • Ensure the Hospital Director is made aware of the expiration of any documents required to maintain practicing privileges including but not limited to professional indemnity cover and DBS.
  • Support the admin team for any freedom of information requests and reporting any potential claims through the correct channels
  • Maintain complete confidentiality regarding all patient/staff issues following the Data Protection Act and principles of Information Governance.
  • To act as the point of contact for complaints management and to support the investigation process where required.
  • Ensure a good working relationship with all departments in the hospital and with other key stakeholders.
  • To identify, devise and initiate changes to working practices and systems, introducing new policies and procedures to maintain an efficient, flexible administration system.
  • Provide a high level of customer service to both internal and external customers

Experience

  • Working as a personal assistant or executive assistant within a healthcare organisation.
  • Excellent IT skills.
  • Time management skills.

Skills

  • Secretarial and organisational skills
  • Competent in file management in relation to regulations
  • Experience in minute taking Ability to work with competing demands
  • Excellent and up to date knowledge of IT skills.
  • Basic knowledge of Windows Excel

Desirables

  • Legal and regulatory experience
  • Understanding of CQC and other regulatory guidelines
  • Working in private healthcare

Qualifications, Skills And Experience

  • Extensive experience of providing a range of administrative and secretarial support services.
  • Ability to deliver high quality PA service to Director level
  • Selfmotivated, able to work on own initiative and use discretion to manage administrative staff
  • Ability to communicate clearly and tactfully and handle sensitive situations with diplomacy and discretion.
  • Ability to work under pressure, meet deadlines and handle multiple tasks
  • Ability to manage and solve problems with diaries
  • Excellent verbal and written communication skills
  • Ability to handle complex issues and solve problems
  • Understanding of patient confidentiality and Data Protection and information Governance principles
