AIM OF THE ROLE:


To provide clerical and administrative support both on reception and within the Appointments Office in line with the Company's quality procedures and Good Clinical Practice (GCP).


JOB PROFILE:


The role requires good interpersonal and communication skills, as well as the post holder being computer literate, preferably to ECDL standard.

Due to the nature of the work, and in the interests of patient care, there is a need for absolute accuracy at all times and adherence to the Company's Standard Operating Procedures (SOP).

In turn this requires the post holder to be committed, conscientious and motivated at all times and able to work effectively as a member of a team.


JOB DUTIES TO INCLUDE:


  • Reception Duties

General administrative procedures to include:

  • Filing and maintenance of records as appropriate
  • Receipt of incoming and internal telephone calls
  • Booking/rebooking of patient appointments, sending written confirmation
  • Sending and receiving of faxes as necessary
  • Data entry relating to the Clinic and patient appointments
  • Maintenance of the Compucare, EDITS, Choose & Book and Auditbase systems
  • Understanding and working to the Company's rigorous quality procedures and GCP in respect of appointment administrative procedures
  • Any other duties commensurate to the level of the post.

RESPONSIBILITIES:


  • Maintenance of Personal Training Record
  • Protecting and Safeguarding of personal/sensitive information within their department
  • Observation and reporting where necessary concerns or suspicions of child abuse

ACCOUNTABILITY:

The post holder is initially accountable to the Appointments Manager, her Deputy and Ultimately the Board of Directors.


Hours:
Monday - Friday 7.5hrs per day between 07:45 & 17:00 (varying shifts 37.5hrs per week)
