The Opportunity


Based at our Head Office in Edinburgh and reporting to the Operations Manager, the Operations & Facilities Support Assistant will provide support to both the Operations Manager and Facilities Manager by assisting in all aspects of the role and deputising when required.

This role is a full time position and will be based onsite.


Key Responsibilities

  • Daily management of mail processes across Head Office and Relationship Centres (incoming and outgoing)
  • Daily management of ELO and ensuring scanning and workflow management is being adhered to.
  • Be the main point of contact for any property maintenance and servicerelated issues/questions form Head Office and relationship Centres.
  • To support with the effective and efficient allocation of tasks to ensure consistent operational effectiveness.
  • Production of weekly rota for Head Office car park
  • Ensure that all invoices, etc are paid on time and retained for future reference,
  • Regular monitoring of Facilities mailbox and act within appropriate timescales.
  • Regular monitoring and updating of Facilities and Project folders within the relevant Drives, to maintain accurate and up to date records.
  • Building relationships across the Society and helping to find solutions to operational/facility questions.
  • Be the main point of contact for Stationery orders/queries across the Society.

Additional Responsibilities

  • Implementation and management of a Head Office hot desk process
  • Ensure the Society adequately aligns to any government COVID guidelines where required.
  • General office duties

Management may add or subtract from the list of duties in order to meet the need of the business as they see fit and as per the terms and conditions of contract._
