Local Unit & Position Description:
We are recruiting for an experienced Proposals Coordinator in the Sales & Business Development Unit. You will be responsible for supporting the preparation of proposals including renewals, new proposals and assisting in RFP's.

It is a key role with visibility at a senior level and the opportunity to make a positive impact on the business.


You will take a pro-active approach to continuously improving the quality and competitiveness of bid submissions to attain a best in industry win rate, providing end to end support for bid managers but also taking a lead role for some bids as required.

As a Proposal Coordinator, you will be an integral member of bid teams, leading the bid process to produce and deliver cost effective and high-quality compliant bid responses and presentation collateral.


Your responsibilities will include the following:

  • Support the Bid Managers on large, strategically important, and complex bids across all Business Units
  • Develop strong relationships with KAM's HoD's and Consultants to understand pipelines and optimise the preengagement stage of the bid process to maximise the chances of success
  • Support the opportunity qualification process by developing and agreeing compelling win themes and bespoke client solutions in conjunction with the Bid Manager
  • Unpick ITT's, define response requirements and develop bid submission plans to ensure submissions are fully compliant with the tender requirements
  • Collaborate and work closely with members of the wider team to deliver specific initiatives time efficiently and cost effectively
  • Engage regularly with internal teams and support functions across the company to maintain their ongoing support of the Proposals Team
  • Manage and facilitate kickoff and progress update meetings to ensure the production of the bid is on track
  • Collate and write customer focused RFP/PQQ responses by developing persuasive first draft answers/responses
  • Organise and facilitate progess review meetings
  • Review responses to ensure they answers the question's and meets the requirements of the ITT and offers compelling reasons to buy / win themes
  • Create impactful, compelling, wellstructured and compliant proposals
  • Complete RFP / PQQ submissions working to tight deadlines, coordinating signoff of proposals in accordance to bid governance and the Chart of Authority
  • Carry out debriefing with clients and internal response teams to learn lessons and implement improvements
  • Manage and review the company's library of proposal collateral to maintain its accuracy, taking corrective action where appropriate, including developing content where gaps exist and capturing content from proposals submitted

Position Qualifications:

What you can contribute to the team:

  • Experience in a Proposal Coordinator position.
  • Experience of project managing proposals and working to a defined bid governance policy
  • Proven track record of writing compelling and successful proposal
  • Experience of proposal writing within the energy industry would be beneficial but not essential
  • Ability to produce proposals to a high standard including formatting, proof reading, and ensuring consistency in style
  • Ideally, experience using Salesforce
  • Preferably a Member of APMP
  • Good interpersonal, communication and time management skills
  • Strong organisational skills with the ability to prioritise
  • Strong analytical and commercial skills
  • An ability to work at a strategic and operational level
