About the role
We're looking for a professional and experienced Executive Assistant to provide comprehensive and confidential administration support to the Chief Commercial Officer(s) and the Heads of the commercial departments at Edinburgh Airport.
This is a key role to support the team and will Involve providing assistance with travel arrangements, general administration, office management and organisation of diaries and meetings.
What you'll be doing
- Manage the Chief Commercial Officers' diaries, manage time, planning and scheduling meetings and appointments, deciding where to reschedule, cancel and delegate attendance
- Provide administrative support to the Commercial Leadership team, comprising two Chief Commercial Officers and five departmental Heads
- Collating and filing expenses inputs for the team
- Travel and accommodation arrangements for attendance at meetings/conferences
- Assisting with business partner meetings, preparing room and refreshments as required
- Preparing of reports, presentations and correspondence
- Comprehensive event planning for business partner events
- Arranging team away days and workshops
- Implementing and maintaining administrative systems
- Liaising with staff, suppliers and clients
- Coordination of paperwork for meetings including preparation of agenda, actions and any reports required
- Occasional holiday cover for other Executive Assistants may be required
- General office maintenance and standards
What we're looking for
- Ideally around 3 or 4 years experience in a similar role, supporting senior executives
- You have proven experience of managing complex events and meeting logistics
- Experience of effectively managing competing and changing priorities whilst working to strict deadlines with mínimal supervision
- You'll have high levels of integrity and will deal with sensitive business related information with discretion
- You are an excellent communicator. You can interact and adapt to internal and external customers at all levels
- Good working knowledge of IT systems such as Excel, Word, and Powerpoint is essential
- Basic knowledge of budget and financial requirements
- Good organisational and time management skills
