The responsibilities of the post will be in accordance with the Teacher's standards, latest School teachers' pay and conditions, school's policies and under the direction of the Headteacher.


Post:
SLT PA and SEND administrator


Working Hours: 37 hours


Grade:
Scale 4 pro rata, point 7-11


No of weeks:
TTO + 3 training days


Responsible to:
Heads PA


SLT PA:


  • Deputise and support the Heads PA providing administrative support to the Senior Leadership Team
  • Parent/Staff Praise Nomination Postcards each half term by rotation select a year group of parents/carers to complete a form to praise a member of staff or department. Coordinate results and print and place postcards in staff room trays.
  • Shield SLT from unnecessary calls and interruptions.
  • Amend policies and save to Gdrive.
  • Support and advise central administration team as and when required.
  • Oversee SLT calendars, planning meetings, adding timetables and reminding SLT of forthcoming events and duties, arranging cover if necessary.
  • Book courses, seminars and ordering resources.
  • Produce detailed reports, letters, agendas and minutes requiring confidentiality and sensitivity.
  • Complete secretarial support to SLT.

Co-ordinate of the programme of Parents Evenings

  • In a timely manner, coordinate approximately 10 parents' evening events over the course of an academic year using the schools online system.
  • Manage the electronic Parents Evening Booking System (PEBS) which includes:
  • Liaising with SLT to establish suitable dates for events
  • Setting up the booking timetable
  • Dealing with parental queries
  • Creating logins for teachers and parents and deal with IT / user problems
  • Promote the Parent Evening booking system to the school community by communicating with parents / carers etc via Parentmail and letters home, on the benefit of the online booking system and how to use it.

Provide administrative support for:


  • Delivering curriculum interventions
  • Analysing results of testing and implementing interventions
  • Contributing to reports on student progress
  • Keeping accurate records of 'K' students and intervention programmes.
  • External agencies, SIMs, provision map collation, transition data support.
  • Ensuring accurate maintenance of EHCPs and records for SEN students.
  • Supporting the school curriculum, including literacy and numeracy activities.
  • Providing targeted support to enhance learning and improve attainment

Supporting teachers through administrative support:


  • Assist in maintaining class records and contribute to reports on student progress and development as directed.
  • Monitor and track progress and provide feedback to assist in developing IEPs for children with special needs.
  • Contribute to the planning and evaluation of work programmes for individual students and groups.
  • Organise the learning environment and develop classroom resources as required.
  • Undertake support activities for the teacher as required, e.g. photocopying, preparation of materials, mounting displays.
  • Contribute to the management of student behaviour, including anticipating and taking action to prevent potential problems arising.

Support for the school

  • Develop and maintain effective working relationships with other staff and parents or carers.
  • Develop parental working relationships and maintain them
  • Suggest areas where ICT might be used to enrich student learning
  • Contribute to the maintenance of a safe and healthy environment.
  • Attend and actively participate in staff meetings
  • Assist in facilitating school events, e.g. school plays, events.
  • Cover other administrative areas as needed (for example covering school reception)
  • SIMS amend parent and student contact details as informed.

Local Data Protection Officer:


  • Support the local data protection officer (DPO) in liaison with CMAT
  • Attend DPO meetings if required
  • Support the completion of SAR and FOI requests as needed and within statutory timescales
  • Ensure the school is GDPR compliant, manage photo permissions, advise on archiving etc
  • Manage any data breaches
  • Provide advice to staff where needed
  • Ensure staff are GDPR trained annually
