2. Receive Co-operative post and action.


  • Receiving invoices, checking and processing for payment.
  • Deal with tenancy enquires in respect of the Co-op tenancies, and in line with the Co-operative's contractual tenancy agreement.
  • Signing up new tenants and all associated administration.
  • Liaison with other external agencies; contractors and leaseholders as required.
  • Update the Co-operative's Housing Management database
  • Administer the Co-operatives prospective tenant and transfer waiting lists, co-operability interviews, reports etc.
  • Liaise and support allocations team.
  • Provide a Committee service for the Management team - produce and circulate agendas; meeting minutes and paperwork associated with actions from the meeting decisions.
  • Produce and circulate agendas; minutes and associated paperwork for General meetings.
  • Keeping the Co-operative tenancy; property and filing systems up to date.
  • First point of contact for receiving complaints in line with the Complaint Policy & Procedures.
  • Administer web-site user accounts.
  • Submitting Insurance claims & associated paperwork.
  • Arranging Annual Satisfaction surveys and administration

Maintenance

  • Receive and record repairs on the co-op database; update the repair database with repair logs and all notes, quotations and costs; arrange access and notification cards for members; arrange works in all categories with contractors, including planned and cyclical maintenance; monitor repair category targets; arrange and administer all necessary property repairs work in respect of Annual and periodic regulatory checks and safety checks. Keep contractor files/records up to date; arrange Clerk of Works/surveyor visits; arrange and record Fire Risk Assessments; Fire safety checks; Health & Safety checks; arrange stock surveys and schedules as required; monitor and arrange service and electrical condition reports; Energy Performance Certificates.
  • Monitor repair targets and contractor performance via the Management reporting system.
  • Arrange void property works and checks and schedule maintenance works and essential checks.
  • Send out repair satisfaction forms.

Tenancy rent work

  • Assist the Co-operative's Rent Contractor as and when required.
  • Record rent notes; letters and rent arrears agreements on the rent database as required, and in the absence of the Rent Officer.


This list is not an exhaustive list of duties, other general administration duties may be required and to support the efficient running of the Co-op office, and to provide cover during periods of absence if appropriate for other admin support contractors.

Applicants will be expected to perform different tasks as necessitated by your changing role within the organisation.

Applicants are also expected to attend general meetings when required to.

Applicants must also be willing to undergo an enhanced DBS check
