Description
We are recruiting for the largest distributor of fuel and lubricants in the UK. They are looking for a reliable, experienced admin clerk who can adapt to the role/systems quickly.
The role will be covering a member of staff's maternity leave, duration 3 months but for the right person there is a possibility of finding/justifying a further head in the team.
- Promote a positive Health and Safety culture in line with Safety F1rst principles
- Ensure compliance to all policies and procedures regarding driving on Company business when required to do so.
- Ensure the correct PPE is worn when visiting Company locations and customer site / Comply with relevant site rules when visiting Company locations
- Responsible for personal Safety, that of the team, colleagues, contractors, visitors and customers within the work place.
- To open and distribute the post for the office on a daily basis
- To liaise with the Depot Operations team in relation to the delivery tickets, printing and distributing the agreed loads accordingly to ensure the highest level of customer service is achieved
- To liaise with the appropriate suppliers to ensure the correct products are ordered on a daily basis
- To complete all administration accurately, professionally, in line with the agreed format and timescales
- Ensure confirmation of delivery tickets including the pricing input (advised to admin team) of unpriced orders
- Responsible for stock reconciliations liaising with the Operations Manager to do so
- Input depot stock deliveries and returns to stock (including leftonboards)
- Responsible for daily / monthly review of stock at depots
- Manage the customer topup system, liaising with routers and sales teams as required
- Handle customer's admin enquiries and ensure response and resolution achieved
- Allocate customers payments on to system, liaising with sales and credit teams to ensure accuracy
- Responsible for recording special delivery instructions from tickets at confirmation stage onto system
- Required to review daily orders on hold and liaise with Sales Teams and Routers to produce clearances
- Achieve KPI targets as set by the business
- To understand the stocks procedures so that the correct data can be recorded on the appropriate system
- To ensure that the correct data is entered onto the system at all times, this includes, stocks, sales confirmations, working hours, driving records etc.
- Ensure effective use of IT systems, in line with the relevant Company policies and procedures.
- Coordinate business activities to maximise and enhance business profitability
- Be aware of and understand the departmental and business targets; and the role that you play in their delivery
- Provide support to other team members as necessary to assist in the achievement of depot and business objectives.
- Ensure that the customer requirements are met in a courteous, professional manner at all times
- To log and provide an effective response and resolution to customer enquiries and requests for information; these may include but are not limited too the following: product details, stock details, drivers hours, order and delivery status, product and technical information
- Provide a high standard of customer service to guarantee continued loyalty
- Ensure customer complaints are handled in a polite and effective manner and are appropriately logged on the complaints system and potentially Wellworker
- Escalate any complex customer enquiry / complaint to the Team Leader or appropriate manager
- Communicate with internal departments on a regular basis ensuring the desired levels of customer service are met.

Hours:
Monday to Friday 08:30am to 17:00 pm
Pay:
£11.50 per hour PAYE hol inc
