As a
Office Coordinator your role encompasses a wide range of responsibilities, focusing on supporting our Vehicle Appraisals, Service & Delivery teams.
Responsibilities
- Be the first point of contact for Third Party Delivery Agents and Subcontractors when they arrive on site
- Obtain vehicle information from Third Party Agents to ensure a smooth handover of completed vehicles
- Update the collections sheet with the arrival time
- Compile appropriate information for delivery pack, including fuel card, management where applicable, and issue delivery pack on vehicle collection
- Liaise with the Appraisals team for collection of the delivery agent
- Be an internal key holder. Be responsible for signing out vehicle keys and issuing "free issue" parts to Subcontractors
- Administer spare keys, including postage to designated locations, and update internal systems as required
- When the vehicle has left site, ensure delivery notes are processed to ensure the vehicle is bookedout correctly
- Scan and record documentation (electrical certs, sign of sheets etc) received and link them to the inhouse system (SAP)
- Identify any blockages or challenges that may affect internal and external stakeholders
- Upholding a professional approach and maintaining a positive attitude toward internal and external colleagues is crucial. Effective communication, collaboration and teamwork are key aspects of your role
- It is important to ensure strict adherence to all relevant processes and policies to maintain consistency and compliance within the organisation
- Developing a working knowledge of related roles with the Conversion Centre Coordinator and Appraisals Supervisor, enabling you to cover during holidays, sickness, or busy periods
- Developing a close working relationship with the Sub-Contractor Coordinator and Dispatch Planner, ensuring processes are adhered to
- Being flexible and agile in assisting other departments when required is part of the current company practice.
Essential Skills
- Good administration experience, ideally gained within a transport or production office
- Highly organised and able to process data accurately
- Good communication skills
- Driven, proactive and resilient
- Able to develop own knowledge and skills within a wellmotivated team
- A passion for delivering customer service excellence in a costeffective way
07:30 - 15:30 Monday - Thursday
07:30 - 15:00 Friday
