A Post has become available within the Community Mental Heatlh Team for an Administrative Assistant.

The position is a full time, permanent post working within Lincoln's Community Teams.

The post holder will be educated to NVQ Level 2 and will require GCSE Maths and English or equivalent.

The successful applicant will demonstrate the following qualities

  • Have a polite telephone Manner and are happy to help.
  • Attention to detail and able to prioritise work and meet deadlines.
  • Good keyboard skills for accuracy and speed.
  • Ability to use Word and other clinical systems to produce high quality documents.
To work as part of a team providing clerical and administrative support to multi-disciplinary clinical services within the Division.

To maintain appropriate record systems, providing confidential, accurate and up to date information.

To promote, at all times, a positive image of the Service and the wider Trust.

Assisting data collection and collation to support formal accreditations and formal requirements including ACOMHS, Triangle of Care and Carers Award.

Gathering appropriate information from a variety of sources to input accurately onto a database.

Identifying and rectifying data quality issues as they arise within the services.

To provide cover to other teams as required

Audio typing of recorded meetings

Communicating sensitively with anyone coming into the department maintaining strict standards of confidentiality


General administration duties including:

answering phone, taking messages, dealing with enquiries, dealing with mail, photocopying, general filing and assisting with the effective dissemination of information as appropriate.

Arranging meetings including, dissemination of papers, checking and chasing attendees, etc.

Filing, discharging and archiving of sensitive records as directed.

Responsible for making room bookings and maintaining room booking diary

Supporting site reception when needed, equally with other admin colleagues on site

Assist in scheduling of appointments and diary management as appropriate using Microsoft calendar


Assist in the stock control, date rotation and electronic ordering, office equipment and stationery; and the subsequent electronic receipting of all received supplies.

Assist in the proper functioning, maintenance and fault reporting of central equipment used by the Teams, e.g. photocopiers, fax machines, printers, computers etc.


Record all data using the appropriate information system or manually where this is required including data entry, word processing, scanning of documents for e-noting and storage.

Production of basic reports including graphs and tables as directed.


Comply with and carry out safe practice in accordance with Trust policies and procedures, appropriate Codes of Conduct, the Mental Health Act and other relevant national and local guidance.

Supporting the Trust's vision to become paperless and encourage Manager to do the same.

Provide administrative support to the onsite CMHT medical secretaries, as directed by the Service Manager.
