About the role
We are looking for an Team Assistant to join an international, highly collaborative, and fast-moving executive team. This role will provide first class administrative support to the Finance Operations & Transformation team EA/Business Manager. The role will also ad hoc assistance to the Leadership Team from time to time.

This role is a hybrid position and will be based out of our 80 strand London office.


Key Responsibilities:


  • Update and maintain organisational charts and related documentation as needed. Ensure communication lists for the division are continuously updated and available
  • Creation of PowerPoint slides for decks
  • Ordering gifts on behalf of the SVP, including research into country appropriate gifts, and sending out to addresses worldwide
  • Assisting with preparation for, and helping to run SVP's Townhalls
  • Assisting to coordinate and plan SVP trips, including arranging appropriate travel, visas, agendas and necessary contacts, country information, etc
  • Working closely and effectively with external stakeholders
  • Maintaining team goals slide deck
  • Diary: Accurate and complete diary management for the SVP, scheduling meetings and meeting prioritisation (identifying conflicts and suggesting solutions proactively)
  • Meetings: Organisation of meetings, including complicated calls across multiple time zones, management of lastminute changes without consultation and notifying team of short notice diary changes. Booking meeting rooms and venues, according to requirements. Sending reminders and preread materials
  • Suppliers, Purchase Orders and Invoices: Support in setting new vendors up on the system, processing payments and resolving queries
  • Organise and plan Quarterly new joiner meetings (including running new joiner reports from Fusion)
  • Help organise socials for whole team both online and in person
  • Perform other adhoc requests that are deemed reasonable and fall within the remit of team administrator
  • Chasing Leadership team for completion of weekly documents
  • Holiday cover for EA & Business Manager

About you
With a passion for continuous improvement and growth you will have:

  • Minimum 2 years' experience within a similar role
  • Be able to deliver first class support and work effectively as part of a team
  • Extremely organised with excellent time management skills and an acute attention to detail
  • Demonstrate an ability to communicate clearly both verbally and in writing
  • Advanced Microsoft Powerpoint (essential)
  • Advanced Microsoft Outlook
  • Intermediate Excel
  • Experience in running events and webinars on Microsoft Teams and Zoom
  • Experience/knowledge in arranging meetings across multiple time zones
