We are currently searching for a Retail Operations Coordinator to join the team.


Role Purpose:


Our Retail Stores form a fundamental part of the Belstaff brand/business, and the role of Retail Operations Coordinator is to support the whole Retail channel in an operational capacity.

As part of the Retail Operations Team you will be the central point of contact for stores providing a consistently high level of service that supports day-to-day operations This role involves taking an active role in all administrative tasks for the Retail channel.


We are looking for someone who will be responsible for:

ADMINISTRATION

  • Performing administrative tasks, such as making travel arrangements and scheduling meetings
  • Preparing reports to internal and external stakeholders
  • Support other ad hoc projects and events as and when required
  • Create and maintain training documents
  • Ensure that policies are up to date with the support of the People Team.
  • Responsible for all business communications to stores
  • Manage incentive calendar for stores
  • Manage the outlet calendar and communications to stores
  • Update and share weekly newsletter to stores
  • Update and manage Store manager holiday tracker and general holiday management across stores
  • Produce and update training documentation when required
  • Ensure Teams groups and files are maintained and up to date
  • Sales Reporting in the absence of Retail Executive

OPERATIONS

  • Support the Retail Executive with store compliance with all store manuals, policies and procedures
  • Escalate any issues with the store infrastructure (IT, Hardware, Tills etc) to the relevant department and Head of Retail in the absence of Retail Executive.
  • Ensure POS systems across stores are up to date with relevant product, price, and promotions in the absence on the Retail Executive
  • Coordinate store maintenance visits and repairs with Stores.

HEALTH AND SAFETY

  • Conduct monthly checks on retail stores to ensure their Health and safety documents are up to date and raise any points with Head of Retail.
  • Coordinate external H&S audit ensuring store manager presence.

COST CONTROL

  • Complete checks to ensure stores are managing their costs in line with their budgets and raise to Head of Retail any issues
  • Store spend tracker management
  • Invoice management filing by store tracking spend
  • Report monthly to Head of Retail store performance regarding spend vs budget.

COMMUNICATION

  • Provision of effective and engaging twoway communications channels to the stores.
  • Assist with all Head Office to store communications.
  • To be continually aware of all company communications and pass on relevant information to team.
  • Manages monthly newsletter process.
  • Administer the store's recognition program.

STAFFING:

  • Manage the store manager rota
  • There may be a need to support and visit stores.

DECISION MAKING AND AUTHORITY LEVELS

  • Liaise with Head of Retail on daytoday decisions.


You may be required to undertake such further duties as your skills, qualifications and experience allow and/or as may be assigned to you by the Company from time to time.


We are looking for someone who has:

  • Previous experience in fashion industry
  • Experience in using Microsoft Excel
  • Created presentations using Microsoft PowerPoint
