Student Services Administrator

1) Centre Manager 2) Departmental Manager
SCOPE :
Clerical Appointment
ROLE REQUIREMENTS :
(to either hold or be working towards as directed by Line Manager)
- Computer literacy
- Word processing skills
- Knowledge of online booking systems preferable
SPECIFIC DUTIES
- Assist in the production of monthly PowerPoint presentation to Amey
- Assist in the production of quarterly business review report/presentation
- Carry out all administrative matters, in particular:
- Liaise with clients to arrange bookings
- Create and collate all booking forms
- Oversee the diary and allocate resources
- Send all joining instructions to attendee's
- Arrange invoicing for all works
- Actioning all Amey courses in CVent
- Provide routine and clerical support to Contract Manager and Centre Manager
- Customer facing, greeting and booking in trainees and visitors
- Calling existing and potential customers
- Carry out any other reasonable tasks as deemed appropriate and commensurate to the grade.
GENERAL DUTIES
- Is to prepare and maintain:
- Amey/TPI diary
- Course Certificates
- Assist in maintaining the departments filing system
- Assist in meeting contractual KPI's
- Assist in demand and control the Departments stationery; produce monthly budget reports
- Carry out typing as required
- Update our social media sites
- First aid and Fire Warden trained (training provided as applicable)
- Provide admin support to instructors with TPI purchasing supplies, liaising with customers producing booking forms and joining instructions
- Assist in maintaining/producing Amey/TPI budget report
- Assist in preparing for audits from the various governing bodies
- Delivery of post and keeping records
- Making drinks/tea/coffee for guests and meetings
- Carry out any reasonable task given by Centre Manager
- To be responsible for your own welfare by following the Health, Safety and Environmental Policy and other related policies such as Equal Opportunities, Harassment, Disability and Data Protection etc.
Management/Communication
- To communicate honestly with your Line Manager
- To be responsible for your own time and attendance at work
- To achieve deadlines/targets that have been set by your Line Manager
- To work within your departmental budget and assist in the control of costs
- To assist your Line Manager to implement change within the department
- To communicate and liaise with all other departments, as required
- To assist your Line Manager to work towards the Business Plan and Longterm/Strategic objectives
Reviews & Planning
- To review and update every 6 weeks performance goals as agreed together with your Line Manager in the company intranet platform.
Training & Evaluation
- To ensure that you receive any agreed training that has been identified either at appraisal or outside of appraisal.
- To complete requests for training documentation and discuss this fully with your Line Manager in a timely manner in line with the Staff Training Procedure.
- In conjunction with your Line Manager evaluate the effectiveness of the training and development activities you have undertaken.
- To effectively utilise new skills from your training
Responsibilities
- To work within the Company's Quality procedures within relevant departments
- To assist in working towards & maintaining the IIP standard
- To conform with Health and Safety at Work Regulations and environmental issues
- To conform with actions necessary in cases of accident or fire
- To keep your work area clean and safe
- To undertake/perform other duties associated with this role, by agreement
- To act as an ambassador for the Company
