Your New Role
Are you a senior administration professional wanting to take the next step into a lead position within a global business? Are you interested in the Project Management and want to partner with this side of the business?

Reporting into the Head of Programme Governance and PMO.

This role sits as part of the Group IT Team who direct and coordinate a range of project and administrative services, including records and information management, mail distribution, interfacing with third party providers and support to multiple Survitec project managers and business leaders.


It supports and coordinates PMO activities and manages in-bound and out-bound communications, freeing project leaders up to focus on delivery.

It may lead or coordinate other administrative colleagues.

Key Responsibilities and accountabilities:


Duties and responsibilities

  • Plans, administers and controls budgets for contracts, equipment, and supplies; ensures costs are budgeted, managed and tracked appropriately
  • Provides administrative support, preparing documents to support meeting preparation and decisionmaking processes
  • Liaises with internal and external clients, colleagues and other stakeholders, ensuring time is allocated effectively to support the leadership and functional responsibilities of each allocated business leader
  • Attends meetings, recording full minutes, action notes or key outputs as agreed, based on the purpose of each meeting; creates, maintains and manages action and decision logs as needed. Prepares agendas for regular leadership and executive meetings
  • Maintains expense records, monitors leadership ancillary budgets and ensures all expense claims are up to date and in line with policy
  • Directs and manages other support colleagues as needed, to deliver a coordinated support service to the business
  • Manages and oversees allocated business projects or plans; produces timelines and supporting decision or action notes; reviews and reports on project progress to plan
  • Provides calendar and diary management for one or more business leaders, ensuring appropriate prioritisation of requests based on agreed protocols and emerging needs of the business
  • Coordinating schedules, meetings and appointments, arranging travel and booking accommodation as needed
