Description

PRINCIPAL PURPOSE(S) OF THE ROLE:


Reporting to the Department Manager, the Pre-Arrivals department holds responsibility for the day-to-day Job Entry and on-going maintenance for specific accounts/branches.

The role involves compliance to both Internal & client specific SOP's designed to ensure that agreed service standards are maintained to the highest level on a consistent basis.


MAIN DUTIES AND RESPONSIBILITIES OF THIS ROLE:

Financial/Commercial

  • Working with the Department Manager to ensure accurate & ontime costs, on time payments to Cash Suppliers
  • Query Resolution to resolve any queries from both customers & suppliers in a timely & efficient manner
  • Query Resolution to resolve any queries from internal departments (including Transport, AP, AR, HR) in a timely & efficient manner
  • Monitoring operational performance of Origin Stations on an ongoing basis & taking corrective actions to improve performance where possible

Operational

  • Use of Internal Freight Management Systems, Microsoft Packages (Word/Excel/Outlook) & Telephone
- _Accept & create Pre-Alerts both EDI & Manual within agreed time scale of receipt._
- _Liaise with shipping lines/overseas agents & other forwarding agents_
- _Validation of EDI Data & Party IDs._
- _Outstanding Pre-Alerts to be pro-actively chased against agreed milestone with origin offices._
- _Issuing of Arrival Notice within agreed time scales of Job creation._
- _Creation of Vessel Master file & generation of supporting paper pre alerts._
- _Monitor all shipments to ensure current status of each shipment is accurate against Key Milestones_

  • Container Tracking, via online Website based on agreed Miles stone
  • ETA Check
- via online web site & port systems

  • Internal & External communication to notify of any changes to key data
  • Completion of Freight & associated Cost within agreed time scale
  • Review of Exception reports to ensure common data issues/errors are identified & resolved
  • Update status of customs documentation in Internal Freight Management Systems
  • Assist Customs Entry department with administration duties
  • Cover for other team members during busy/holiday periods
  • Supporting the Branch Managers to introduce measures to improve operational efficiency
  • Prioritising of Workload in accordance with deadlines & SOP
  • Maintain documentation of internal processes, supplier costs & SOP's
  • Monitor & maintain filing system

Customer Service

  • Query Resolution to resolve any operational queries from both internal & external departments in a timely & efficient manner
  • Ensure Accurate data entry with adjustments made in a timely manor
  • Reviewing SOP's on an ongoing basis to ensure compliance.
  • Reviewing internal operational procedures on an ongoing basis to ensure compliance.

General
