An exciting opportunity has arisen for a Band 3 Administrative Assistant to join the Respiratory/Sleep Department. This is an opportunity for a highly motivated, enthusiastic individual to join this friendly and professional team. We are a busy department providing a wide range of investigations in both Respiratory and Sleep.


To be considered for this post the applicant will have 3 GCSE qualifications including English and hold the ECDL certificate or equivalent.

Experience of working unsupervised in a busy office environment is essential. The role is Full Time.


We are looking for someone who has great interpersonal skills and the ability to clearly communicate with members of the public and other professionals in a courteous way.

JOB SUMMARY:

The role will provide administrative and secretarial services to the Respiratory Physiology and Sleep Physiology team.


The post holder will be required to work closely with the Service Coordinator and provide cross cover during periods of staff absence.


DUTIES AND RESPONSIBILITIES

  • Communications and Relationships
  • Receive, manage and prioritise telephone and personal enquiries, from patients/carers, GPs, Consultants and other professionals, sensitively in an efficient and diplomatic manner.
  • The post holder will provide timely and accurate medical transcription/editing of patient correspondence involving complex medical information that may be of a sensitive nature.
  • Provide administrative support to the Respiratory and Sleep Physiology team.
  • Undertake routine office duties including electronic case note tracking, photocopying, filing and maintenance of records when required.
  • Manage patient referrals into the Service from multiple sources, internal and external.
  • Open, record, date stamp and distribute all incoming and outgoing post.
  • Booking and re-arranging patient appointments as needed.
  • Prioritize own day-to-day workload without supervision.
  • Responsibility for Policy/Service Development
  • Implement Trust policies and comment on departmental procedures and guidelines.
  • Promote the ethos of continuous improvement disseminating any new knowledge gained to other colleagues.
  • Contribute ideas and suggestions to improve the effectiveness of the service.
  • Actively participate in team meetings.
  • Responsibilities for Financial and Physical Resources
  • Participate in ensuring the effective use of all financial resources in delivering the service.
  • Order stationery items on behalf of the team.
  • Responsibilities for Human Resources
  • Participate in mentoring arrangements, with designated staff.
  • Fully participate in the Trust's appraisal system and personal development planning process.
  • Assist in new staff induction together with the identification and support of their training requirements to include supervision of apprentices, demonstrating own duties to less experienced staff.
  • Compliance with the Health & Safety at Work Act the post holder is required to fulfil a proactive role towards the management of risk in all their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards and a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions.
  • Responsibility for Information Resources
  • Dispatch investigation request/referral forms to the appropriate departments once completed by the Consultant or clinical teams.
  • Ensure information regarding Referral to Treatment Pathways is up to date and accurate, validating the relevant Patient Tracking Lists.
  • Take necessary action as instructed by the Consultant with regards to patients who fail to attend clinic appointments, investigations or other procedures.
  • Responsibilities for Research and Development
  • Participate in service development projects undertaking staff surveys or audits as necessary to own work.
  • Partnership Working
  • Maintain service delivery of the Respiratory/Sleep Physiology service by assisting colleagues during their absence or with peaks of work.
