Purpose Statement


As the Medical Operations Specialist, you would support the EMEA IO&E Medical Affairs and Education team to deliver on projects.

The IO&E Medical Operations Specialist will work closely with the EMEA Medical Affairs/Medical Education Managers (MAMs), Medical Director and the country Medical Advisors.

The role will require a high level of collaboration across different franchises, divisions, functions and countries, with a key focus on adherence to Boston Scientific Policies and Procedures to ensure compliance with Industry Regulations, including but not limited to the MedTech Europe Code of Ethical Business Practice.

The key objectives of this role are to support in the planning, execution and follow up of all EMEA medical related activities in line with the annual plan and other activities required by the organization, together with supporting the EMEA Investigator Sponsored Research program as required.


Key Responsibilities


As a key member of the Global Medical Operations and Education Team, the Medical Operations Specialist will also be looking to drive efficiencies, and continually improve process, systems and solutions to meet business needs.


  • Work collaboratively with the MAMs and wider medical team to deliver on all medical related activities including symposiums, conference meetings and education, advisory boards, medical education events and KOL engagements
  • Lead the compliance activities (raising internal request forms, cross border request forms as appropriate) in a timely manner for every Medical Affairs activity
  • Lead the logistics for all online and face to face internal and external activities; Zoom and Teams meetings, agendas, flights, hotels, catering and affiliated bookings
  • Manage events within event planning software
  • Provide onsite support at Medical Affairs and Education events across EMEA region
  • Liaise with congress meeting organisers on symposia logistics, manage physicianbased logistics
  • Point of contact for materials approval systems for nonpromotional materials
  • Assist with collecting KPIs for the medical team for reporting to multiple stakeholders
  • Lead on contracting with Healthcare Professionals and Healthcare Organisations for consultancy, proctoring and preceptorship activities insuring close collaboration with countries, compliance and legal.
  • Manage and maintain contract database with country assistants
  • Manage and maintain EMEA Medical team SharePoint site as an information sharing tool
  • Create, manage, and maintain KOL & rising star profiling database
  • Execute on vendor management and invoice payments and manage EMEA Medical Affairs budget, in collaboration with IO&E Medical Project Management Specialist
  • Manage and execute vendor and invoice migration activities into new payment systems in close collaboration with Business Support partners
  • Contribute to the planning and execution of content creation for an IO&E online Educare offering
  • Identify, implement, and contribute to any process improvement tactics
  • Conduct postevent evaluation of content, faculty and business impact
  • Foster positive relationships with KOLs encouraging and maintaining crossfunctional positive collaboration
  • Partner with local, European and global BSC colleagues to ensure the medical team provide continual compliant and updated material
  • Provide support to EMEA Investigator Sponsored Research program where appropriate e.g. invoice payments, product supply and management of contracting
  • Responsible for liaising with Legal, Compliance functions to ensure follow through with policies, procedures, trainings, and audit support as needed

Education and Experience

  • Minimum of 4 years experience in a similar role
  • Ideal experience working within the Medical Device or Pharmaceutical Industry
  • Highly competent in Microsoft 365 programmes and other communication software
  • Proven strong planning and organizational skills and the ability to work effectively
