Your role and responsibilities
- Preparing clinical files for the following day's appointments
- Scanning clinician files and documents into clients' electronic accounts in the practice management system
- Managing and updating clinical diaries to enable appointments are booked correctly
- Answering calls in a professional manner and routing calls as necessary
- Taking calls from our referring vets and booking appointments for clients and referring clients to case managers
- Communicating with clinicians and workflow coordinators regarding scheduling emergency appointments
- Continue to maintain and develop your own professional knowledge and skills
- Maintain effective and professional colleague relationships
- Promote Health and Safety policies and practices, ensuring compliance is always maintained
- Greet clients and their pets when they enter the building and guide them to their designated area
- Page the relevant, clinician, nurse or physiotherapist and case manager of their arrival
- Ensure all the correct paperwork/ documentation for the client is ready and available
- Process queries and manage customer expectations in a polite and friendly manner
- Maintain regular communication where appropriate, ensure the clients are happy and kept updated on any delays as appropriate
- Take payment from the client for the services they have received
- Keep track of how long clients have been waiting and repage clinicians were necessary
- Continue to maintain and develop your own professional knowledge and skills
- Maintain effective and professional colleague relationships
- Promote Health and Safety policies and practices, ensuring compliance is always maintained
You will be diligent, organised, and professional with the ability to maintain a harmonious working relationship with others, promoting collaboration amongst teams.
Confidence to manage conversations in a calm but informative way is also essential, as is the ability to follow processes avoiding mistakes, providing a very high level of customer service at all times.
This is a full-time position, working a 40-hour week, Monday - Friday with some weekend work.
