Executive Assistant

£20 per hour
**Location

  • Haringey, London.**Haringey London are looking for an executive assistant to work with the Directors, Assistant Directors and the wider Chief Executives Office to provide them with proactive diary, administrative and operational support on an initial 3month contract with the possibility to extend.

Main responsibilities of the role:


  • Manage the diaries of two Directors/Assistant Directors, working closely with them to ensure time efficiency.
  • Manage meetings, including organising venues and refreshments, liaising with attendees, planning agendas, taking notes, and chasing actions. This may include management team meetings and away days.
  • Agenda setting in advance, ensuring Directors are well prepared for meetings with the right information and prompted about any important issues.
  • Be the first point of contact for Directors with residents, colleagues, councillors, and other organisations, dealing with complaints and sensitive issues courteously and helpfully. Coordinate responses and ensure they are highquality and on time.
  • Work closely with Business Managers in the Chief Executive's Office to support wider work in directorates, including publishing delegated decisions and statutory returns, collating information, forward planning and assisting with adhoc projects.
  • Have a good working knowledge of Director's areas of work and the wider organisation, helping navigate processes and signposting.
  • Support the wider team in the Chief Executive's Office, taking responsibility for systems and processes, ensuring databases are up to date and covering for other Executive Assistants when they are away from the office.
  • To undertake any other temporary responsibilities aligned with the overall purpose and grade of the role.

Knowledge and Experience:


  • Understanding, knowledge, and ability to follow guidelines that ensures compliance with Health and Safety at Work, Data Protection, and other statutory requirements.
  • Understanding and commitment to promoting and implementing the Council's Equal Opportunities policies.
  • Knowledge and experience of using IT (Essential).
  • Good understanding of the responsibilities and functions of local authorities (Desirable).
  • Knowledge of the council's priorities in the Borough Plan (Essential).
  • Experience of working with senior executives, managing diaries, and dealing with correspondence (Desirable).
  • Experience of working with a variety of people including other teams and departments, politicians, residents, and businesses (Essential).
  • Experience of dealing with difficult situations and helping find the appropriate solutions (Essential).

Key skills and qualifications:


  • Business and administration qualifications or training (Desirable).
  • Ability to work with minimum supervision, prioritising workload and dealing with conflicting demands (Essential).
  • Highly organised, able to forward plan, manage expectations and anticipate what is needed (Essential).
  • Excellent written and verbal communication skills (Essential).
  • Ability to influence and manage someone else's time (Essential).
  • Proactive attitude.
