The Role


The Post holder will form part of the Small Works team to assist the Project Managers and clients across the UK, the main day to day support will focus on the project Managers in the region and when required to also assist with other offices as and when workload dictates.


This is a key role providing support to the Small Works team and clients where attention to detail, client liaison and management of documentation is paramount, as well as liaising with the other support staff within the teams across the UK.


Day to Day

  • Assisting project teams in raising and updating jobs on the various IT systems
  • Ensuring PO's are raised for suppliers and materials to maintain program deadlines.
  • Dealing with supplier and contractor queries
  • Organise and attend and when required lead stakeholder meetings.
  • Document and follow up on all important actions and decisions from meetings
  • Support the Project Managers as required with daytoday tasks
  • Ensure stakeholders views are managed towards the best solutions
  • Create project management calendars for each goal and objective
  • Ensure projects adhere to agreed frameworks
  • Assess, report and update all stakeholders on potential project risks
  • Update all stakeholders on project changes
  • General administrative duties
  • Supply chain liaison
  • Assisting with inputting into project team documentation
  • Customer care
  • Assist with Engineer communications
  • Relay workload information to relevant engineers.
  • Provide cover for other coordinators for leave and sickness reasons.
  • Flexibility on working hours depending on workload, ebb and flow.
  • Attend clients' sites when required for project updates and meetings.

Skills & Experience

  • Build positive relationships with the team and stakeholders
  • Communicate using appropriate styles, methods
  • Have minimum 2 years demonstratable experience in a similar role
  • Sound understanding of Health and Safety
  • Have an understanding of mechanical and electrical works.
  • Understand and able to compile O&M manuals for sites upon completion of works
  • Role model enthusiasm and energy about their work and encourages others to do the same.
  • Ability to clearly communicate work tasks and win the commitment of others to achieving high levels of operational performance.
  • Excellent interpersonal, written and verbal communication skills
  • Ability to build positive relationships with team to speedily resolve day to day operational problems
  • Selfmotivated and capable of working within a team environment.
  • Demonstrate resourcefulness when acquiring additional expertise.
  • Use tact and diplomacy to exchange information and handle sensitive issues.
  • Project a professional demeanour with colleagues, clients and their customers.
  • Ability to maintain an objective and positive focus through periods of high and sustained work pressure whilst adhering to strict project deadlines

Core Hours:
Monday - Friday: 8:00 - 16:30pm

**Full Time Office Based - L3 5TR
