Job objectives
***The Supply Chain Assistant will work under the supervision of the Supply Chain Officer and should be a key member of the team able to assist in the ongoing development of the team. He/she is responsible for the integrity of the supply chain system.


The supply chain Assistant must be able to respond quickly to program and operational needs, ensuring best practices and adherence to standards and procedures with quality documentation.

Specific responsibilities include support for the procurement process, support for the management of the supplier database, support for compliance with procedures and compliance with documents.


Specific tasks:


General:

-
Supply chain team support

  • Become familiar with the IRC Supply Chain Handbook and comply with the rules and procedures set out in the IRC Handbook.

Specific activities:

***Under the responsibility of the Procurement Officer and the Supply Chain Manager: - Ensure procurement is done in accordance with IRC and specific donor policies.

  • Attend all Procurement Committee meetings.
  • Coordination with finance, administrators and program departments to ensure integrated internal controls
  • Ensure supplier payments are made in a timely manner
  • Ensure that procedures are followed and that supporting documents are compliant.
  • Ensure a transparent and responsive procurement process is implemented and maintained.
  • Routine communication, coordination and planning with relevant requesting staff/programs regarding the ordering and delivery of supplies.
  • Ensure that all required Supplies, services and equipment are delivered on time.
  • Establishing and maintaining ethical and professional working relationships with suppliers.
  • Maintain vendor information for regularly purchased items and be informed of current local market conditions.
  • Provide appropriate training for purchases to other departments,
  • Generate and/or maintain a database of prequalified suppliers.
  • Generate and/or maintain a complete price list for goods, services and equipment.

Qualifications

Requirements:

-
University degree, in logistics, management, or social sciences or any other equivalent qualification or experience;

  • At least 3 years of experience in a management or similar supervisory position
  • Strong management skills including developing, evaluating, planning, budget and asset tracking.
  • Have a knowledge of the computer tool and current software Word, Excel, PowerPoint.
  • Proven ability to manage, lead, motivate and train staff
  • Have excellent interpersonal skills, ability to work in an organized and independent manner.
  • Have a very high degree of probity and integrity.
  • Good organizational, communication and interpersonal skills,
  • Good disposition a and skills for writing reports.
  • Good knowledge of the South West/North West Region.
  • Demonstrated ability to work and manage a multicultural team
  • Experience working with an international humanitarian NGO will be an advantage
