Document Controller


Length of Contract: 1 year

Job description:
Provide document control services


Main accountabilities**:


  • Undertake control of electronic and hard copy documents to ensure they are controlled, updated and distributed utilising various control methods
  • Close electronic management of change forms and record associated documents when completed
  • Manage service desk, assign and action requests in accordance with Service Level Agreements
  • Provide induction to new starts, familiarisation/refresher on document control procedures and processes
  • Liaise with departments/functions to ensure Document Control Centre have latest revision of documents new and revised
  • Collate and compile documents to handover to new owner when an asset is sold
  • Archive documents from various repositories when an asset is disposed of
  • Distribute company notices in a controlled manner and update the distribution list when requested
  • Publish on behalf technical/operation teams documents required to be available to the business
  • Search data
  • Manage projects and asset archives
  • Arrange photocopy and courier services

Miscellaneous

  • Quality check on documents in accordance with Business Management System. May include formatting such as, correcting templates, fonts and styles, pagination and numbering
  • Assist in development of procedures and processes as required
  • Cover for other Document Control Centre team members during leave of absence
  • Remain flexible and adaptable to other duties and initiatives when required by the IM Manager and/or Business Services Director and business

Qualifications (professional, technical, academic):


Essential:

  • Experience in Microsoft Office package
  • Experience in a Document Controller or similar role
