Job title: Services Administrator


Location:
Crossroads Stevenage Daycentre & Hitchin Head Office


Salary:
£21,000 - £22,000, dependant on experience


Hours: 37.5hrs per week. Mon-Fri, 9am-5pm.

With occasional weekend working and being part of the on-call rota

Job Purpose:


To intake new clients across all of Crossroads Caring for Life services ensuring that their needs are adequately met, and the pipeline of service is as seamless as possible.

Provide support in the Day Centre to support workers and clients, ensuring clients receive a holistic experience. Be part of the on-call rota.


Key responsibilities:


  • Update systems with information of new enquiries and increases to be followed up on.
  • Assist with the marketing of services, client enquiries and waiting list demands.
  • Manage client and carer data; including referrals, assessments, reassessments, and care plan details where required.
  • Mobilise new packages of care in liaison with Seniors, Coordinators, and Managers.
  • Promote Crossroads Caring for Life services and signpost clients to other services if required.
  • Issue service quotes that have been agreed by Finance and Managers.
  • Issue welcome packs in response to new referrals.
  • Maintain and develop carer and client information packs, ensuring stocks are replenished.
  • Support with issuing annual feedback surveys.
  • Maintain client files in good order using digital systems according to Care Quality Commission (CQC) and contractual requirements.
  • Carry out administrative duties for Day Centre including transport, meals and any other admin as required.
  • Carry out necessary health and safety checks in the Day Centre
  • Order and purchase essential kitchen items and cleaning supplies for the Day Centre

  • Manage confidentiality procedures and freedom of information.

  • Participate in internal and external meetings.
  • Participate in regular supervision sessions with the Line Manager

Person Specification:
Services Administrator


Desirable Experience

  • Experience of highvolume administration
  • Experience of sales or promotion
  • Experience of using CRM (Customer Relationship Management) databases.
  • Experience in Social Care (either professionally or personally)

Skills & Competencies

  • Proficient IT skills, including working knowledge of MS Office
  • Excellent verbal and written communication skills
  • Warm telephone manner
  • Ability to work as part of a dispersed team i.e., managers, seniors etc.
  • Ability to use initiative and organise own workload.
  • Ability to make on the spot decisions.
  • Ability to provide great customer experiences.
  • An understanding of the needs of the carer and those they care for
  • A commitment to the objectives and values of Crossroads Caring for Life
  • Valid UK driving licence and ability to use own car.
