Description
To provide administrative and secretarial support to the Ward leaders and to act as a central information source.

The post holder will work closely with the ward leaders and all relevant staff members and will provide a comprehensive, professional and confidential PA/secretarial and administrative service.

The post holder will be guided by standard operating procedures, with someone available for reference.


The post holder will develop or maintain administrative systems which will ensure the efficient and effective running of the Ward, allowing the Ward manager to concentrate more fully on the clinical aspects of his/her job role.


The Trust may ask you to undertake other duties, as required, which are not necessarily specified in the job description but which are commensurate with the grade of the post.

Working closely with Ward Leaders to provide a comprehensive, personal assistant service to the wards.

To work independently under guidance of the ward leader whilst prioritising the workload in order to ensure a smooth running of wards.

All post holders must take responsibility to ensure that they are aware of and adhere to all Trust policies, procedures and guidelines relating to their employment regardless of their position within the Trust.


  • Provide secretarial support to the ward manager, preparing and keeping his/her diary.
  • Ensure all relevant paperwork is available for: ward meetings, Trust meetings. Take and record notes from the ward meetings.
  • Ensure there is proper governance for all patients and ward documentation that complies with Trust policies and that it is adhered to.
  • Ensure there is a proper system for the collection and storage of Audit and other monitoring and sensitive information, both electronically and paper copies.
  • Organise all relevant meetings.
  • Prepare and type letter and reports as required modern matrons reports etc
  • Responsible for data entry of staff annual leave, MLE/training and sickness records, preparing supporting documentation as required.
  • Manage the administrative process for the recruitment of new ward staff.
  • Organise the mandatory and other training for all ward staff and maintain MLE records for staff.
  • Plan appraisal dates for all staff.
  • Plan induction checklists for all new staff.
  • Assist in the admin support regarding investigations into complaints and incident forms
  • Provide nonclinical advice and support to patients as part of the raising of comments, complaints and concerns process.
Communication

  • Support the implementation of good communication methods on the ward.
  • Maintain high standard of communication with all members of the ward team.
  • To be effective, clear and accurate when using all forms of communication within the Trust environment.
  • Take notes and participate in ward/departmental meetings.
  • Update and produce data for ward boards with relevant data.
  • Provide and receive information of a sensitive nature, requiring tact and sensitivity
Information technology

  • To embrace technology used by the Trust.
  • Undertake training as required through Trust IT department
Physical Effort

  • Frequent requirement for sitting in a restricted position when using a VDU
Mental effort

  • Occasional requirement for concentration where the work pattern is unpredictable.
Emotional Effort

  • Occasional exposure to distressing or emotional circumstances, g. when dealing with stressed staff and patients
Working Conditions

  • Occasional exposure to unpleasant working conditions e.g. exposure to ward environment.
