Description
We require a full-time receptionist to join our busy administration team in the Occupational Health Services (OHS).

The OHS is one of the largest NHS OHS departments in the UK and has a well-established and proven track record of nationally recognised excellence, providing services to both internal and external clients since 1982.


We offer a commercial service on a scale unique in the NHS which has allowed us to develop a broad range of occupational health knowledge, experience, and understanding across a wide range of sectors.

The service achieved full SEQOHS accreditation in June 2011 and was the first NHS organisation to do so. We are looking for a friendly, customer service-focused, and self-motivated receptionist to join our multidisciplinary team.

  • Provide a high quality reception service to all users ensuring an efficient,
Professional and prompt reception and administration service is delivered at all times

  • Provide excellent customer service to ensure timely, relevant advice and assistance to all clients and external visitors
  • Manage telephone calls according to departmental standards and respond appropriately to maintain effective communication channels
  • Deal with all enquiries from clients, staff, and visitors in a courteous,
efficient and tactful manner referring onward when necessary

  • Keep the reception and waiting area tidy and monitor the environment, reporting any concerns as appropriate
  • Manage incoming and outgoing posts for the department
Client Administration

  • Ensure clients are marked as attended on the appointment calendar

Applicants should ideally have previous administration/receptionist experience preferably in a health care setting. You will need to have good IT

Qualifications/Education

Essential Criteria

  • Good general education with English and Maths to GCSE standard or equivalent
  • NVQ customer care 2 or equivalent experience
Previous Experience

  • Experience of working in a customer focused environment in a front facing role/reception
  • Experience of managing a high volume of calls during peak periods, prioritising work and situations
  • General office experience
Skills/knowledge/ ability

  • Excellent communication skills, with the ability to: relate to a diverse group of professional staff and General Public
- communicate clearly in writing, face to face and on the phone
- covey sensitive information in an appropriate manner

  • Ability to plan, prioritise and schedule work using own initiative to meet deadlines and organise work accordingly
  • Ability to multitask e.g. using different systems, dealing with the public and data entry
  • IT skills experience of using Microsoft Word, Excel and Outlook proficiently
  • Competent and accurate data entry and ability to file accurately
  • Ability to develop good working relationships with colleagues at all levels
  • Understanding of equal opportunities
  • There may be some physical requirement to lift stationary boxed and files
