Yourgaff and Moradia is seeking a highly skilled, adaptable, and reliable Executive Personal Assistant for our Chief Executive Officer (CEO) with a strong background in media relations.
In this role, you will be responsible for managing a wide range of administrative duties and providing exceptional high-level support to the CEO, including leveraging media connections to facilitate exposure on podcasts and other media outlets.
This involves being a professional problem solver, possessing exceptional computer skills, and being able to maintain composure and productivity in a fast-paced environment.
Responsibilities:
- Manage and maintain the CEO's schedule, appointments, and travel arrangements.
- Assist in preparing and editing correspondence, communications, presentations, and other documents.
- Design and produce complex documents, reports, and presentations.
- Arrange and coordinate meetings, events, and VIP guest visits.
- Record, transcribe and distribute minutes of meetings.
- Monitor, respond to and distribute incoming communications.
- Interact with internal and external clients in a professional and timely manner.
- Liaise with internal staff at all levels and manage a wide range of highly confidential and sensitive information.
- Coordinate project-based work and oversee special projects, as assigned.
- Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions.
- Leverage established media connections to secure the CEO's appearances on podcasts, interviews, and other media outlets.
- Manage the CEO's public relations and promotional activities.
Qualifications and Skills:
- Bachelor's degree in a relevant field or equivalent experience.
- Proven experience as a Personal Assistant or related role at the executive level.
- Established relationships with media outlets, particularly within the podcast and broadcast industries.
- Proven track record in managing and executing successful public relations campaigns.
- Strong proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with other office management technologies and tools.
- Expertise in setting up and managing virtual meetings using various online platforms (Zoom, Google Meet, Microsoft Teams, etc.).
- Excellent calendar management skills, including coordination of complex executive meetings.
- Outstanding organizational and time management skills; ability to manage multiple tasks and projects with competing priorities and tight deadlines.
- Exceptional interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
- Excellent written and verbal communication skills.
- Discretion and confidentiality regarding sensitive company information.
- Ability to anticipate needs and think critically.
