We will need you to provide us with administration expertise, to help us deliver the highest quality of care.

The role is very varied, and your time will be spent taking and managing referrals for the team, supporting the allocation of visits through liaising with relatives and the duty nurses.

This role will involve having sensitive conversations so good communication skills are essential. Foundation level communication skills training will be available to you, if not already completed training in this area.


You will also be managing the IT systems, which supports the operational management of the team and supporting HR processes.

Experience within a similar role would be advantageous, but full training will be provided.

You will be part of the wider community specialist palliative care team and therefore you will need to sometimes cover other team administrators across the team.


Overall, you will be organised, flexible and responsive to the needs of the team, using initiative to organise your own workload dependent on the priorities and requirements at the time.

  • Input data into the SystmOne - accurately and efficiently entering information from referrals and any other contacts.
  • Organise and administer patient visits with relatives and nursing team
  • Open and distribute incoming post and prepare outgoing post for dispatch.
  • To receive telephone calls, take and deliver messages in an efficient and timely manner.
  • Photocopying, scanning, filing and retrieving medical notes and documentation as required.
  • Copy or audio typing letters, confidential reports and charts as requested by team members.
  • Support in co-ordinating meetings including taking and transcribing formal minutes as required.
  • Deal with day-to-day queries and signpost as appropriate.
  • Support in monitoring and ordering of stationery and office equipment.
  • Help keep database, internet, intranet up to date.
  • Carry out any other duties in keeping with the grade of this post as requested by the nursing team to aid effective running of the services and achieve the aims and objectives of the Directorate.
  • The role includes working in front of a computer screen for a significant amount of time.
  • Completing and ensuring IT systems are up to date, e.g. E-Roster, ESR
  • Ensuring the HR processes are tracked and supported through completion of relevant forms, ESR etc.
