Key Responsibilities
- Managing C Suite inbox; reading, prioritising, replying on behalf, drafting or editing correspondence. This will involve the handling of private and sensitive information.
- Proactive diary management for C Suite, prioritising necessary meetings, gatekeeper of diaries, reorganising schedules to ensure best use of time, booking travel and accommodation and being the first point of contact.
- Ensuring all proactive action is taken in order to plan for C Suite holidays, dissemination of Board information and Board podcasts, videos etc.
- Ensuring that the CEO & C Suite meet any actions or tasks that they are committed to i.e. commentary for board meetings, actions from previous Boards, preparing and delivering presentations
- Supporting on the creating of any documentation, presentations, slide decks, schedules/itineraries when required
- Assisting the Head of Marketing & PR to facilitate high level Csuite materials for internal comms, including Board level presentations and documents.
- Assist with management information analytics for weekly and monthly reporting to the Board.
- Light personal tasks to include overseeing expenses or personal bookings for CEO & C Suite and diary management for wider SMT.
- Adhoc admin support for Senior Management Team where required; DocuSign templates, technical assistance, meeting room/office assistance, overseeing expenses.
- Taking minutes and actions in SMT meetings, following up to ensure completion, circulating agenda beforehand.
- Organise all C suite events, CEO forums, management days; tracking attendance, liaising with venue, booking internal/external guests, distribute agenda, manage schedules.
- Escalation point for widescale issues or complaints
- Maintain accurate and uptodate records of all expenses related to SMT. Coordination
- Liaison with the bank, legal professionals re private and sensitive C Suite information
Office and Supplier Management
- Monitoring suppliers and ensuring SLAs are met and standards are upheld.
- Oversee the management of the hub office including health and safety protocols.
- Administrative management of the building (ensure that contracts are up to date, that repairs and/or renovations are made, and that certificates are in order)
- Monitoring of insurance thresholds and assessment of insurance needs
- Operational management of General Services and the transmission of information to the accounting department
- Liaison agent with suppliers including the negotiation of prices and revision of quotes and contracts within the limits of the allocated budgets.
- Increase the efficiency of existing processes and procedures to enhance the company's internal capacity.
Requirements and Skills
- Ideally 5+ years' experience as a Senior EA supporting a C Suite team.
- Attitude: you will be positive, solutionsdriven, a natural negotiator, and be able to proactively handle situations
- Communication skills; articulate, with the ability to build relationships with key stakeholders and suppliers
- Previous experience working with sensitive and confidential information.
- Ability to multitask and work well under pressure and across international time zones.
- A strong decision maker.
