Job Description Summary:

The Construction Administrator is responsible for the administrative support for all construction activities within the defined area, acting under the direction of the Construction Leader Portfolio.


The holder supports the mobilisation and demobilisation of the means required for the execution of works on site (personnel, welfare, tools, consumable).


The holder also consolidates those the needs and usage across the various projects to allow monitoring by construction department personnel.

Reports to the regional Construction leader and participate to the function's objectives follow up.


Main Tasks

  • Site Mobilisation
  • Obtain quotes from suppliers for items relating to site set up (e.g. cabins, diesel genset, waste management, fencing, consumables, stationaries etc).
  • Liaise with project team to raise requisitions & followup with suppliers & site managers till delivery, including provisions of RAMS when necessary.
  • Site demobilisation
  • Liaise with site managers and suppliers for the collection of items from hired equipment.
  • Site Consumables & construction services
  • Placing orders for site sundries, consumables, and services through preselected suppliers as and when required by the sites.
  • Project purchase support
  • Searching for and getting prices / quotes for nonstandard and bespoke items, raising requisitions and for items are not available through onboarded suppliers deal with our pass though company to get orders placed & delivered.
  • Interface with Project Management
  • Supporting Site Managers & PM with cost queries, to ensure that all costs are captured, and services / recurrent PO values are adjusted when necessary.
  • Contingent Worker onboarding
  • Ensure correct onboarding of all contingent workers through the information systems & the logistics of their IT needs.
  • Interface with Suppliers
  • Ongoing interfacing with suppliers to chase up deliveries, invoice queries etc.
  • Time booking
  • Ensure timely collection, data entry & consolidation of time bookings for all construction personnel.
  • Health and Safety data
  • Ensure timely & accurate collection of data from all sites and data entry in internal information systems for the compilation of KPI.
  • Information Exchanges.
  • Provide regular updates, arrange regular team talks of construction staff.

Skills / Qualifications

  • Good interpersonal skills
  • Selfmotivated, capable of initiatives and an appetite to learn.
  • Analytical mind and able to navigate organizations to resolve issues.
  • Must be able to communicate effectively in English and to accurately and concisely report both verbally and in writing.
  • Proficient in using various information systems. (SAP a plus)

Experience

  • Previous experience as administrative support in construction environment.
