Following the recent award of the Lincolnshire Non-Emergency patient Transport Service (NEPTS) contract EMAS is seeking an experienced administrator or project worker to support the delivery of a robust and efficient service mobilisation project.


The Project Support Officer will provide a high standard of administrative support associated with the efficient running of a project management function.


The Project Support Officer will be expected to deliver a professional and efficient service and will require skills such as discretion, using initiative, tact and diplomacy to support the Service Mobilisation Project Manager in delivering an effective mobilisation project.


The role will provide administrative support for several meetings, this will involve arranging meetings, accurate recording of minutes and action notes and timely circulation of papers, the Project Support Officer will have good communication skills as well as the ability to maintain effective audit trails, version control and tracking processes.


The Mobilisation Project Team will sit within the Strategy and Transformation Directorate, reporting to the Assistant Director of Strategy Development and Commercial Services with the Project Support Officer reporting directly to the Service Mobilisation Project Manager.

This is small team developed specifically to support the mobilisation of the Lincolnshire NEPTS.


The role will provide lots of opportunities to work with colleagues across the organisation as well as the wider local NHS system.

Main Responsibilities:

To maintain the relevant project information libraries, databases and resources.


To act as the first point of contact for project management enquiries from internal staff, presenting a professional and friendly image of the project management function.

To communicate both routine and complex project information such as highlight reports and milestone updates.


To provide co-ordination between the project team and other internal contributors to the Lincolnshire Non-Emergency Ambulance Service (NEPTS) mobilisation project.

To answer project related queries, track project progress and status reports to ensure timescales and milestones are met.

To analyse possible solutions to a project problem and make recommendations on the best course of action to take.


To arrange and attend meetings and take minutes when required, record action notes, discussions, and decisions accurately and to a high standard.


To produce and monitor the action log for key meetings, liaising with action owners to ensure actions are completed and captured.

Maintain project logs including risk registers and issues logs.

Monitoring and reporting Quality Impact Assessment compliance and subsequent reviews.

Utilise Microsoft Office packages to produce spreadsheets and reports.

Provide support and guidance to new users on the project management software.

Be responsible for ensuring own specialist knowledge is kept up to date, attending training and gaining qualifications when appropriate.

Act as a key member of the team and contribute to furthering the aims and objectives of the service.

Perform any duties appropriate to the post as directed by the Service Mobilisation Project Manager.

Organise and plan workload to ensure the integrity and timeliness of management data and to ensure deadlines are met.


The duties and responsibilities of the post will be undertaken in accordance with the policies, procedures and practices of the Trust, which may be amended from time to time.

Patient Safety is a key priority for the Trust.

It is your responsibility to ensure that you are fully compliant with EMAS policies and procedures in respect of patient safety, for example Risk Management, Infection Prevention and Control, Safeguarding children and vulnerable adults.
