As an NHS Workflow Apprentice, you will play a critical role in ensuring the efficient and secure handling of documents within a healthcare setting.

Business Admin level 3 Apprenticeship training provided by PMA Ltd and on the job training.

What will the apprentice be doing?


Working under the guidance of experienced professionals, you will contribute to maintaining accurate and up-to-date documentation while adhering to NHS guidelines and regulatory requirements.

Key Responsibilities

  • Assist in the organisation, cataloguing, and storage of physical and electronic documents, ensuring easy retrieval and adherence to data protection regulations
  • Support the implementation and maintenance of document management systems and software.
  • Perform quality checks on documents, ensuring accuracy, completeness, and compliance with relevant standards and guidelines.
  • Assist in the creation and formatting of documents, including letters, reports, and forms, using appropriate software tools.
  • Work with healthcare professionals and administrative staff to ensure timely and accurate documentation of patient information, records, and correspondence.
  • Contribute to the development and implementation of document management policies, procedures, and best practices.
  • Support the scanning, digitization, and archiving of physical documents, ensuring efficient and secure storage.
  • Assist in tracking and monitoring document workflows.
  • Support training initiatives to educate staff on document management processes, data protection, and confidentiality requirements
  • Assist in managing and responding to requests for information and records, ensuring compliance with data protection regulations and NHS policies
  • Stay updated on relevant NHS guidelines, regulatory changes, and industry best practices related to document management and data protection.
  • Participate in training programs and professional development opportunities to enhance skills and knowledge in document management and information governance.

Qualification and Skills:


  • GCSE or equivalent required; additional education or training in document management, records management, or related fields is desirable.
  • Attention to detail and organisational skills, with the ability to manage and prioritize multiple tasks.
  • Computer skills, knowledge of document management software, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and scanning equipment is desirable.
  • Understanding of data protection regulations, information governance, and confidentiality requirements is desirable
  • Good communication and interpersonal skills
  • Ability to handle sensitive and confidential information with discretion and integrity
  • Familiarity with document scanning, indexing, and archiving processes is advantageous
  • Basic understanding of healthcare terminology and processes is beneficial but not mandatory
  • Ability to work independently and as part of a team
  • Willingness to learn and develop new skills

What training will the apprentice take and what qualification will the apprentice get at the end?

  • Business Admin level 3 Apprenticeship Standard Training in the workplace provided by PMA Ltd
  • Functional skills maths and English, if required
  • You will have on the job training within the organisation and have an assigned assessor who will provide you with additional training sessions and assessments to gain the business administrator qualification.
